Job Title: Project Coordinator

Rate: Php 267.85 per hour

Work Type:

  • Remote/WFH
  • Part-Time – 20 hours a week

Working Hours: Shift Schedule (TBD - MST Business Hours)

Start Date: TBD

JOB OVERVIEW:

The Project Coordinator supports the day-to-day coordination of AV, IT, and security projects by tracking orders, managing communication with customers and vendors, and ensuring projects stay on schedule. This role focuses on organization, follow-ups, and maintaining project flow across internal teams and external partners.

JOB ROLE & RESPONSIBILITIES:

  • Track and manage project timelines, deliverables, and status updates across multiple projects.
  • Maintain and update project tracking spreadsheets and internal systems.
  • Follow up with manufacturers and vendors (OEMs) for order status, shipping updates, and tracking numbers.
  • Coordinate with customers, vendors, and internal teams to ensure timely communication and updates.
  • Monitor shared inboxes or email aliases and route inquiries to the appropriate team members.
  • Ensure consistent follow-ups on pending items (e.g., no response within 1–2 days).
  • Assist in scheduling meetings, project calls, and coordination with customers and internal teams.
  • Support project managers and field technicians by tracking tasks, updates, and action items.
  • Help bridge communication between office-based staff and on-site technicians.
  • Ensure all required documentation is complete prior to project closeout (e.g., signed work orders, completion photos).
  • Organize and maintain project files, documentation, and records.
  • Consolidate data from multiple sources such as ticketing systems, spreadsheets, and financial tools.
  • Provide basic reporting and summaries to support project visibility and decision-making.
  • Assist in building and improving internal processes for tracking, follow-ups, and coordination.

JOB REQUIREMENTS:

  • Proven experience in project coordination, administrative support, or operations within an IT, AV (audiovisual), or technical environment
  • Background in IT or strong familiarity with IT systems, terminology, and workflows
  • Experience coordinating with vendors, suppliers, or manufacturers (OEMs), including order tracking and follow-ups
  • Strong organizational and time management skills with the ability to manage multiple projects simultaneously
  • Excellent written and verbal communication skills, with experience handling customer and stakeholder communication
  • Experience monitoring and managing shared inboxes, emails, and task follow-ups
  • High attention to detail with strong accountability and ownership of tasks
  • Comfortable working in a fast-paced, growing environment with evolving processes
  • Familiarity with ticketing systems, project tracking tools, or CRM platforms (e.g., spreadsheets, helpdesk tools, PM tools)
  • Experience supporting project managers, technical teams, or field technicians is highly preferred.

Preferred Certifications:

  • Certified Associate in Project Management (CAPM)
  • Project Management Professional (PMP) (not required)
  • ITIL Foundation (for IT service environments)
