Construction Project Coordinator (Remote | US Client)
About the Role
We're seeking a highly organized Construction Project Coordinator to support the successful delivery of multiple construction projects for a US-based company. This role is ideal for someone who enjoys coordinating people, managing documentation, tracking project progress, and supporting financial and administrative processes.
You'll work closely with project managers, field teams, operations, and clients to ensure projects stay organized, on schedule, and aligned with company and client requirements.
Key Responsibilities
Project Coordination
- Coordinate project activities from initiation through completion.
- Monitor project schedules, milestones, deliverables, and work-in-progress (WIP).
- Collaborate with project managers and field teams to ensure projects remain on track.
- Maintain accurate project records, status updates, and tracking reports.
- Support project setup, registrations, and ongoing administrative requirements.
Client & Team Communication
- Serve as a point of contact for project updates and scheduling communications.
- Coordinate report delivery timelines and respond to client requests.
- Facilitate communication between clients, project managers, field teams, and internal stakeholders.
- Keep project teams informed of project status, deadlines, and outstanding action items.
Proposal & Project Administration
- Coordinate incoming project opportunities, proposals, task orders, and change requests.
- Assist in preparing proposals, fee estimates, reports, templates, and change orders.
- Track proposal progress and follow up with project managers as needed.
- Maintain client information, project documentation, and internal tracking systems.
Financial & Administrative Support
- Monitor Accounts Receivable (AR), including invoice tracking and payment follow-ups.
- Assist with Accounts Payable (AP) coordination and invoice processing.
- Support project billing activities and help ensure compliance with contract requirements.
- Maintain spreadsheets and reports related to project budgets, billing, AR/AP, and project performance.
Document Control
- Organize, maintain, and distribute project documentation in accordance with company and client standards.
- Ensure project documents are accurate, current, and properly filed within internal and client systems.
- Track document submissions, approvals, revisions, and compliance requirements.
- Support quality control by maintaining organized and accessible project records.
Qualifications
- High school diploma required; Associate's or Bachelor's degree in Business, Construction Management, Engineering, or a related field is preferred.
- Minimum of 2 years of experience in construction administration, project coordination, or a similar role.
- Experience supporting construction projects, engineering, or related industries is highly preferred.
- Basic understanding of project billing, Accounts Receivable, and Accounts Payable processes.
- Strong organizational skills with the ability to manage multiple projects and deadlines.
- Excellent written and verbal English communication skills.
- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Experience with project management, document management, CRM, or construction management software is an advantage.
