Job Summary:

The Virtual Assistant is responsible in executing operational and administrative tasks that ensure the smooth functioning of the company's community. This role focuses on managing app operations, digital content, asset organization, publishing support, and enhancing the member experience.

Job Description:

• Manage ongoing operational updates inside the company's app to ensure spaces, resources, and member-facing content remain current and well organized.

• Add replays, resources, event details, announcements, and other content into the app in a timely and accurate manner.

• Update and manage written copy in app space descriptions and other app areas based on team direction.

• Check all in-app hyperlinks regularly for errors, outdated destinations, or needed redirects.

• Update in-app images and graphics to reflect current branding standards and campaigns.

• Add app events and ensure event descriptions, links, formatting, and associated details are complete and accurate.

• Post monthly calendars, Book of the Month content, and other recurring app assets on schedule.

• Assist member chapters with adding posts, announcements, or events into the app.

• Help create and manage app automations that improve the member experience under team guidance.

• Maintain private groups, chapter spaces, and other community sections as needed.

• Like and monitor member posts in the app to help create a responsive and active member environment.

• Notify the team of posts that have not received a response so members do not feel overlooked.

• Monitor activity and engagement patterns and flag gaps, inconsistencies, or opportunities for improvement.

• Support basic reporting and tracking related to member participation, publishing consistency, and content engagement.

• Create video cover graphics in Canva for replays and video content. (No design experience required)

• Upload and manage company videos in Vimeo with proper naming, organization, and presentation.

• Manage visual assets for the app, including organizing graphics, screenshots, logos, thumbnails, and supporting files in shared folders.

• Find and capture testimonial screenshots for use in marketing, sales, and community materials.

• Retrieve company logos, such as Fortune 500 logos, and organize them appropriately for future use.

• Assist with redeveloping presentation slide layouts and visuals to improve clarity, consistency, and branding.

• Proofread guides and support updates to existing educational materials to ensure accuracy and polish.

• Prepare and provide CSV files to the Mighty team for bulk badge assignments and other structured app updates.

• Support the implementation of recognition or engagement systems that improve the member journey and app experience.

• Help maintain the accuracy and organization of backend data needed for community operations.

• Identify potential speakers through LinkedIn research based on role, company, industry, or other relevant filters.

• Support weekly campaign-related needs such as Earnings Season Canva graphics and similar recurring creative requests.

• Assist with cross-functional administrative tasks related to app operations, content readiness, member experience, and asset organization.

• Provide execution support to multiple departments by taking ownership of recurring tasks that require consistency, speed, and close attention to detail.

Qualifications:

• Demonstrates strong attention to detail and ability to manage recurring tasks and ensure accuracy.

• Shows the ability to work across multiple teams and take ownership of tasks.

• Comfort with spreadsheet-based work and managing files.

• Clear and coherent both written and verbal communication skills in English.

Screening Criteria:

• Minimum of two (2) years of experience in virtual assisting, operations, community operations, content management, or a similar role.

• Experience with content management, marketing operations, and administrative tasks.

• Must have stable employment history.
