Job Description

Position: Procurement Officer (Up to 45K)

Schedule: Monday to Friday, 7 AM 4 PM (PH Time)

Work setup: Onsite

The Procurement Officer will support our AU client by managing supplier onboarding, maintaining accurate supplier documentation, and ensuring ongoing compliance with procurement and regulatory requirements.

This role requires strong coordination skills, attention to detail, and effective communication with suppliers and internal stakeholders to ensure compliance standards are consistently met.

In This Role, You Will

Supplier Onboarding & Compliance

  • Conduct onboarding for new suppliers, ensuring all required documentation is complete and compliant.
  • Verify the accuracy and validity of supplier permits, certificates, registrations, and compliance documents.
  • Maintain up-to-date records of supplier credentials and compliance status.

Documentation & Record Management

  • Maintain an organized and accurate supplier database and document repository.
  • Monitor document expiry dates and proactively request renewals from suppliers.
  • Ensure consistent filing, naming conventions, and documentation standards in line with internal procedures.

Supplier Liaison & Coordination

  • Communicate with suppliers to obtain missing, updated, or expiring compliance documents.
  • Respond to supplier enquiries regarding onboarding requirements and compliance processes.
  • Escalate compliance issues or risks to the Procurement Manager as required.

Internal Support

  • Work closely with Procurement, Operations, and Compliance teams to ensure supplier data accuracy.
  • Support internal and external audits by providing complete and updated supplier documentation.
  • Assist in preparing compliance summaries, reports, and status updates for management review.

Were Looking For Someone Who Has

  • Previous experience in procurement, purchasing, or supplier management roles.
  • Exposure to compliance, documentation control, or administrative support functions.
  • Experience with supplier onboarding, vetting, or regulatory documentation.
  • Familiarity with procurement systems or document management platforms is an advantage.
  • Detail oriented and methodical with strong follow-up habits.
  • Confident in communicating with suppliers and maintaining professional correspondence.
  • Strong administrative and coordination skills.
  • Comfortable supporting compliance driven processes with consistency and accuracy.

Technical Skills

  • Strong document management and data organization capabilities.
  • Ability to interpret supplier documentation and compliance requirements.
  • Proficient in Microsoft Excel and other administrative tools (spreadsheets, trackers, shared drives).
  • Solid understanding of procurement workflows and supplier registration processes.

  • Strong written and verbal communication skills for supplier coordination.
  • Proactive follow-through and ability to meet deadlines.
  • Professional written English for emails and documentation.
