Job Summary
The Payroll Specialist is responsible for the end-to-end payroll process, from timekeeping validation to payroll disbursement, ensuring accuracy, timeliness, and compliance with tax regulations and statutory requirements. The role requires expertise in both manual payroll computation and payroll system administration, as well as advanced Excel skills to support payroll processing, reporting, and automation.
Key Responsibilities
- Manage the complete payroll cycle, including timekeeping validation, payroll computation, processing, and disbursement.
- Perform manual payroll computations when necessary, including adjustments, corrections, off-cycle payroll runs, system downtime scenarios, and validation of system-generated payroll results.
- Process payroll through payroll and HRIS platforms, ensuring data integrity, accuracy, and proper system configuration.
- Compute and validate taxable and non-taxable compensation components, including de minimis benefits, allowances, overtime pay, holiday pay, and premiums.
- Prepare and file BIR Form 1601-C (Monthly Remittance Return of Income Taxes Withheld on Compensation) and ensure timely tax remittance.
- Perform year-end tax annualization, including the computation of annualized withholding tax, identification of over- or under-withholding, and processing of the necessary adjustments through payroll.
- Process final pay computations for resigned, terminated, and end-of-contract employees, including prorated salary, leave conversions, tax adjustments or refunds, and clearance-related deductions.
- Reconcile timekeeping records against approved schedules, leave applications, and attendance exceptions.
- Process statutory deductions and contributions for SSS, PhilHealth, and Pag-IBIG, ensuring accurate computation and timely remittance.
- Prepare payroll reports, payroll summaries, and supporting schedules for finance and accounting reconciliation.
- Develop and maintain Excel-based payroll tools using advanced formulas, data validation techniques, and VBA macros to improve payroll automation and reporting.
- Investigate and resolve payroll discrepancies and system-related issues, coordinating with internal stakeholders, IT teams, or third-party vendors as needed.
- Respond to employee payroll inquiries and resolve payroll-related concerns in a timely manner.
- Maintain payroll records and documentation in compliance with data privacy, audit, and regulatory requirements.
- Prepare year-end compliance requirements, including the Alphalist and BIR Form 2316, ensuring accuracy and consistency with annualized tax computations.
- Identify and recommend process improvements to enhance payroll accuracy, efficiency, and compliance.
Qualifications
- Bachelor's degree in Accounting, Human Resources, Business Administration, Finance, or a related field.
- Minimum of 2 to 3 years of experience in end-to-end payroll processing.
- Demonstrated ability to perform payroll computations manually and independently, without sole reliance on payroll system outputs.
- Hands-on experience with payroll systems or HRIS platforms such as SAP, Workday, Sprout, PayrollHero, or similar applications.
- Strong knowledge of Philippine payroll regulations, tax laws, and compensation-related compliance requirements.
- Solid understanding of taxable versus non-taxable compensation and benefits.
- Comprehensive knowledge of year-end tax annualization, withholding tax computations, and payroll tax adjustments.
- Experience in final pay processing and applicable statutory and tax requirements.
- Proven experience in preparing and filing BIR Form 1601-C.
- Familiarity with timekeeping systems and payroll integrations.
- Working knowledge of SSS, PhilHealth, and Pag-IBIG contribution and remittance processes.
- Advanced Microsoft Excel proficiency, including:
- IF, SUMIF/SUMIFS, COUNTIF/COUNTIFS
- VLOOKUP, XLOOKUP, INDEX-MATCH
- Pivot Tables and data analysis tools
- Conditional formatting and data validation
- VBA Macros and payroll automation
- Strong analytical, problem-solving, and organizational skills.
- High level of accuracy, attention to detail, and confidentiality.
- Ability to work effectively under pressure and meet strict payroll deadlines, especially during payroll cutoffs and year-end activities.
Preferred Qualifications
- Experience handling payroll for medium to large organizations.
- Exposure to payroll audits and compliance reviews.
- Experience implementing payroll system enhancements or automation initiatives.
- Background in payroll accounting or finance reconciliation is an advantage.
