Position Summary:

The Executive Assistant / Personal Assistant plays a critical role in ensuring the seamless day-to-day execution of executive priorities. This includes managing schedules, coordinating meetings and events, handling communications, and supporting both professional and personal logistics. The ideal candidate thrives in a fast-paced environment, demonstrates strong attention to detail, and effectively leverages technology and AI tools to enhance efficiency, organization, and overall productivity.

Function:

  • Manage complex executive calendars across multiple time zones, ensuring efficient scheduling of meetings, calls, and appointments
  • Coordinate internal and external meetings, client engagements, leadership sessions, and executive events
  • Support end-to-end travel arrangements, including flights, accommodations, transportation, and detailed itineraries
  • Assist in planning and organizing leadership offsites, events, and meetings, including venue coordination, agendas, and materials preparation
  • Handle a variety of administrative tasks such as document preparation, note-taking, research, and data gathering
  • Maintain and update contact lists, databases, and internal systems to ensure accuracy and accessibility
  • Organize and manage digital files, shared drives, and documentation for efficient retrieval and use
  • Track action items, follow-ups, and deliverables to ensure timely completion and accountability
  • Manage executive email inboxes by prioritizing messages, flagging urgent matters, and ensuring timely responses
  • Draft, edit, and proofread emails, memos, and internal communications aligned with leadership tone and intent
  • Prepare concise daily inbox and task summaries highlighting key updates and priority actions
  • Provide support for personal tasks including scheduling appointments, bookings, errands, and service coordination
  • Manage personal logistics such as household arrangements, deliveries, maintenance, and related coordination
  • Track important personal and professional dates such as birthdays, anniversaries, and key events
  • Collaborate closely with the Senior EA/PA to ensure seamless executive support and act as backup when needed

Qualifications

  • Minimum 3 years of experience in an administrative, executive assistant, scheduling coordinator, or similar support role
  • Excellent written and verbal communication skills in English
  • Strong organizational, prioritization, and multitasking abilities with high attention to detail
  • Ability to work independently while also collaborating effectively within a team
  • Proficiency in Google Workspace, Microsoft Office, calendar management tools, and video conferencing platforms
  • High level of discretion, professionalism, and integrity in handling confidential information
  • Comfortable working in a fast-paced, dynamic, and evolving environment
