Qualifications
- Bachelor's degree in Business Administration, Communications, Sales, Marketing, or a related field preferred
- At least 5-8+ years of progressive experience in Executive Assistant, Operations Manager, Sales Operations Coordinator, Executive Operations Partner, or similar roles supporting senior leaders at the VP level or above
- Proven experience supporting senior sales, commercial, or business development executives within multi-regional environments
- Demonstrated experience supporting end-to-end sales operations and business development activities, including opportunity tracking, executive client engagement coordination, sales meeting preparation, and RFP processes
- Strong background in project management, operational execution, stakeholder management, and cross-functional coordination
- Experience in business enablement, operational support, or strategic coordination functions is highly preferred
- Excellent written, verbal, and interpersonal communication skills
- Advanced proficiency in Microsoft Office Suite including Outlook, Excel, PowerPoint, and Word
- Familiarity with CRM platforms such as Salesforce or HubSpot is an advantage
- Exceptional attention to detail and ability to manage multiple workstreams simultaneously
- Strong organizational, prioritization, and time management capabilities
- Proactive problem-solving mindset with the ability to adapt to evolving business priorities
- Execution-oriented approach with strong follow-through and accountability
- Familiarity with RFP processes, proposal development, and sales cycle coordination
- Ability to work effectively with stakeholders across different teams, functions, and regions
Responsibilities
- Serve as a central coordination point across executive priorities, strategic initiatives, business development activities, and operational programs
- Drive execution discipline by monitoring key initiatives, tracking commitments, and ensuring accountability across stakeholders
- Support leadership in managing sales opportunities, maintaining pipeline visibility, and coordinating client engagement activities
- Coordinate and manage RFP processes, including information gathering, proposal preparation, compliance reviews, and submission management
- Maintain and organize proposal libraries, client communications, sales documentation, and business records
- Lead social projects, cross-functional initiatives, and operational workstreams involving multiple departments and stakeholders
- Ensure projects remain on track through effective planning, coordination, risk management, and progress reporting
- Prepare meeting materials, document key discussions, monitor action items, and ensure timely completion of commitments
- Draft, edit, and review executive communications, business correspondence, client-facing materials, and strategic presentations
- Manage complex calendars, scheduling priorities, travel arrangements, and executive time allocation
- Develop reports, dashboards, presentations, and business insights related to operational performance, opportunity tracking, project progress, and organizational priorities
- Recommend process improvements and operational enhancements that support business growth and efficiency
- Maintain strict confidentiality across sensitive business, financial, operational, and executive information
- Perform additional responsibilities as assigned by senior leadership
