Job Description

The Role:

Provides comprehensive support to multiple senior executives or a high-level executive office, ensuring seamless administrative operations and coordination. Manages complex schedules, communications, meetings, travel arrangements, and documentation while facilitating cross-departmental collaboration. Acts as a key liaison between executives, internal teams, and external stakeholders to optimize organizational efficiency and decision-making.

Responsibilities

  • Coordinates complex calendars for multiple executives or departments, resolving conflicts proactively.
  • Oversees executive communication workflows across multiple teams or departments.
  • Coordinates multi-departmental or executive-level meetings/events, including agendas and outcomes.
  • Manages critical documents across multiple teams, ensuring compliance and accessibility.
  • Manages high-level stakeholder interactions across departments or functions.

Qualifications

  • Bachelor's degree in Business Administration, Management, Communication, or related field.
  • Additional training in office administration, executive support, or professional communication is a plus.
  • At least 5–7 years of experience supporting executives or operational teams, including managing multiple senior executives.
  • Proven ability to coordinate complex executive calendars and schedules across departments.
  • Experience in preparing executive-level reports, presentations, and official correspondence.
  • Skilled in organizing multi-departmental meetings, events, and travel arrangements efficiently.
  • Strong knowledge of document management, filing, and archiving standards across teams.
  • Ability to manage and communicate with multiple internal and external stakeholders effectively.
  • Proficiency in advanced office productivity and collaboration tools (e.g., Microsoft Office Suite, collaboration platforms, scheduling and document management systems).
