Qualifications

  • Bachelor's degree in Business Administration, Communications, or related field
  • At least 7 years of experience as an Executive Assistant
  • Proven experience supporting senior executives
  • Demonstrated capability in project management and execution
  • Excellent written, verbal, and interpersonal communication skills
  • Advanced proficiency in Microsoft Office Suite and adaptability to new systems
  • Strong attention to detail and accuracy across all deliverables
  • Positive attitude with ability to collaborate across teams
  • Strong time management and prioritization skills
  • Proactive problem-solving mindset with adaptability to change

Responsibilities

Administrative Tasks

  • Act as the point of contact among executives, clients, and internal and external partners
  • Prepare meeting materials, track minutes, and monitor progress of action items
  • Receive and sort daily mail, file documents, and act on pending items accordingly
  • Plan and organize division-wide events
  • Coordinate with vendors and focal persons to secure required items and services
  • Draft, edit, and review company-wide or client-specific communications with accuracy and professionalism
  • Provide executive support through transcribing, formatting, editing, and transmitting text, data, and graphics
  • Lead assigned projects and initiatives, including company-wide programs and executive presentations
  • Collaborate with the Executive Team and Department Managers to support strategic execution
  • Develop strong understanding of company offerings and coordinate with departments for seamless operations
  • Apply critical thinking to evaluate communications, anticipate responses, and assess impact
  • Contribute to team outcomes and provide support as needed
  • Maintain strict confidentiality of sensitive information and company matters

Communication and Correspondence

  • Screen and prioritize communications including calls and emails, addressing urgent matters accordingly
  • Research and respond to communications with sound judgment
  • Format memos, emails, presentations, and reports for internal and external use
  • Facilitate communication between executives and stakeholders to maintain alignment and trust

Travel and Calendar Management

  • Organize and schedule meetings with accuracy and efficiency
  • Coordinate meeting logistics, including attendee notifications and setup
  • Book travel arrangements including flights, transportation, and accommodations
  • Manage executive calendars and schedules

Reporting

  • Evaluate effectiveness of strategies and recommend improvements
  • Prepare reports as requested by the immediate manager
  • Maintain organized filing systems and accurate records

Project Coordination and Management

  • Execute special projects and assigned initiatives
  • Manage multiple projects simultaneously with strong prioritization
  • Deliver projects on time, within scope, and within budget

Confidentiality

  • Safeguard highly sensitive business and personal information

Other Responsibilities

  • Perform additional administrative and operational duties as assigned
