The ideal candidate will provide top-level assistance for the CEO. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. This role requires strong analytical thinking, discretion, and the ability to manage both administrative and data-driven tasks.
Responsibilities
Executive & Administrative Support
- Provide high-level administrative support to the CEO, including calendar management, meeting coordination, and travel arrangements
- Manage emails, prioritize communications, and draft responses on behalf of the CEO when needed
- Prepare briefing materials, meeting agendas, and follow-up notes
Finance & Data Support
- Assist in preparing financial reports, investment summaries, and presentation decks
- Maintain and organize financial data, spreadsheets, and dashboards
- Perform data validation, reconciliation, and basic financial analysis as required
- Support tracking of investments, pipelines, and portfolio updates
Reporting
- Build, maintain, and improve data models, trackers, and reports
- Automate and streamline recurring reporting tasks where possible
Coordination
- Coordinate with internal teams (finance, legal, business development, operations)
- Follow up on deliverables and ensure deadlines are met
- Assist in preparing materials for board or investor meetings
- Represent the CEO in key meetings when necessary, ensuring alignment and follow-through on decisions
Qualifications
- Bachelor's degree in Business, Finance, Economics, Accounting, or related field
- 2–5 years experience as Executive Assistant, Finance Assistant, or similar role (investment/corporate finance exposure is a strong advantage)
- Strong proficiency in Microsoft Excel (advanced level required)
- Experience with financial reporting, dashboards, or data management preferred
- High attention to detail, strong analytical skills, and ability to work with numbers
- Excellent communication and organizational skills
- Ability to handle confidential information with discretion
- Ability to create executive-level presentations (PowerPoint)
Preferred Skills (Nice to Have)
- Experience in investment firms, private equity, or corporate finance
- Exposure to budgeting, forecasting, or portfolio tracking
- Comfortable working with a highly analytical and detail-focused executive
- Proactive, resourceful, and able to anticipate needs
- Fast learner with strong problem-solving mindset
