The Project Support for Education Operations is a project-based role (1 year contract) responsible in ensuring that all activities are efficiently and effectively implemented across programs and different sites. The Project Support works closely with all members of the Education Division and across relevant units to help ensure the programs strategic alignment, effective delivery of interventions, and successful achievement of learning outcomes.
Coordination and Implementation
- Coordinates operations and logistical needs of both Early Grades and Digital Education Programs to ensure that activities are implemented within given timelines.
- Assists in the development and enhancement of learning materials and ensure readiness for implementation across projects.
- Prepares presentations for meetings and program orientations in close coordination with the Project Leads and Education Manager.
- Co-facilitates during presentations, trainings and coaching sessions in close alignment with the Project Leads and Education Manager.
- Coordinates schedules of the team and ensures that relevant members and stakeholders are present in activities.
- Coordinates proactively with suppliers for the logistical needs of all activities to be conducted.
- Collaborate closely with the team during implementation to ascertain all systems go.
- Maintains a database of community contacts for ease in communication pre-, during and post implementation.
- Recommends solutions and next steps appropriate to the context of each location and program.
- Assists in the future expansion plans of the project
Stakeholder Management
- Anticipates needs of stakeholders relevant to the projects and actively communicates these to relevant teams for further discussion.
- Builds and maintains professional relationships with community partners and stakeholders to facilitate a healthy and progressive working relationship essential for the program to succeed.
- Engage and rallies stakeholders to align with the goals of the programs of the Education Division
Monitoring and Evaluation
- Coordinates and supports rigorous data collection for Education programs including tracking students learning progress and other impact measurements through adaptive education technology data and DepEd assessments.
- Assists in the preparation of comprehensive reports and proposals by contributing relevant data, insights and lessons learned on ground.
- Supports in creating and maintaining comprehensive documentation related to the Education programs including but not limited to project activities, data and reporting.
Budget, Finance, and Compliance
- Files expense reports ensuring proper documentation and adherence to financial guidelines and procedures in a timely manner.
- Assists the Education Division with budget preparation, financial documentation and providing accurate financial reports.
- Assists in preparing budgets and financial documentation related to future expansion plans of the projects.
Risk and Issue Management
- Assists in promptly resolving any project-related issues that may arise during the implementation of both the Early Grades and Digital Education Programs.
- Proactively assists in identifying and mitigating potential risks and threats hindering the successful implementation of the project
Cross-Functional Collaboration
- Coordinates with cross-functional teams within the organization during the implementation of the Early Grades and Digital Education projects to ensure overall smooth operations.
- Collaborates with other relevant teams/stakeholders as needed for potential expansion plans of the project.
REQUIREMENTS
- At least a Bachelor's degree in an education-related field
- Background in education, community work, technology or another related field preferred.
- Preferably with 2-3 years of experience in project coordination and support in an education setting or any other related field.
- Strong familiarity with digital learning tools, educational technology platforms, work applications and knowledge in basic troubleshooting.
- Strong familiarity of the early grades landscape of the country
- Strong familiarity of the dynamics in working with the Department of Education
- Exceptional organizational and logistical skills, with a keen eye for detail.
- Proficiency in data collection and basic reporting, with an understanding of data privacy.
- Teaching experience/ experience working in or with the Department of Education is an advantage.
- Strong communication and interpersonal skills, capable of interacting effectively with all program partners across all levels.
- Ability to work independently and collaboratively as an integral part of program implementation team.
- Detail-oriented, proactive in addressing challenges, and committed to achieving program objectives.
- Must be based willing to work in Makati on a hybrid set-up.
- Must be physically fit and willing to travel for field work.
