The Opportunity

We are looking for a highly organized Creative Operations Assistant to act as the central nervous system for the Octave creative team. This is a hybrid role for someone who loves the intersection of project coordination and creative execution. You will be responsible for nudging designers and editors to keep workflows moving, while also flexing your own creative muscles by producing light static designs and CapCut-style video edits for organic social. If you are an obsessive organizer who treats file naming conventions as an art form and thrives on keeping project management tools like Notion spotless, you are exactly who we need to keep our launches on track.

What Your Day-to-Day Will Look Like

  • Project Coordination: Own day-to-day coordination across designers, editors, and agency partners, proactively flagging blockers to ensure deadlines are met.
  • System Management: Keep Notion updated and clean, managing tickets and ensuring every project status reflects real-time reality.
  • Creative QA: Serve as the first line of defense for quality assurance; perform spec checks, verify asset counts against briefs, and ensure brand consistency before final delivery.
  • Light Video Editing: Execute quick-turn video edits for social (adding captions, title cards, and cuts) for therapist videos and other short-form organic content.
  • Static Design Support: Provide basic design firepower for on-brand social and internal assets when the core design team is at capacity.
  • Asset Off-boarding: Run project close-out by verifying naming conventions and organizing final files within Drive and Notion.
  • Workflow Hand-offs: Coordinate the seamless transfer of assets between in-house motion designers, animators, and external agency partners.

What You Bring

  • Professional Foundation: 2+ years of experience in creative operations, design production, or creative project management—ideally within an in-house brand team.
  • Project Management Tools: Hands-on proficiency in Notion (or similar tools like Asana/Monday.com) for task management.
  • Technical Creative Skills: Working knowledge of CapCut (or equivalent) for social video and basic static design skills using Figma, Canva, or Adobe Creative Suite.
  • Operational Precision: Obsessive attention to detail regarding asset organization, file naming, and administrative follow-through.
  • Proactive Communication: Strong written English and the confidence to follow up with both internal stakeholders and external agency partners.
  • Collaborative Mindset: Comfort working across multiple parties, including freelancers, contract specialists, and in-house creatives.

Bonus Points if:

  • You have prior experience supporting healthcare or mental health brands (familiarity with compliance is a plus).
  • You are an early adopter of AI tools (Claude strongly preferred) for creative ops or content workflows.
  • You have a background in producing organic social content end-to-end for TikTok, Reels, or LinkedIn.
  • You have formal design training or a portfolio showcasing your static social work.
  • You are comfortable wearing multiple hats (design + copy + ops) in a high-leverage team.
