Our client is the founder and owner of a 13-year-old U.S.-based company providing:
- Background screening
- Drug testing
- Tenant screening
- Pre-hire assessments & skills testing
They serve businesses, nonprofits, churches, youth organizations, and property managers across all 50 U.S. states.
The company is growing and entering a new expansion phase. This role is mission-critical to help streamline operations, increase efficiency, and support business growth.
This is an opportunity to work directly with a founder who is highly driven, direct, and growth-oriented.
The Opportunity
We are looking for a highly proactive, detail-oriented Executive / Operations Virtual Assistant who can:
- Act as the founder's right hand
- Stay ahead of tasks and deadlines
- Ensure operational consistency
- Take ownership of CRM, follow-ups, and research
- Proactively identify ways to improve processes
This is not a passive task-execution role.
We need someone who speaks up, asks questions, flags gaps, and takes initiative.
Key Responsibilities
CRM & Data Management (GoHighLevel)
- Clean, audit, and maintain CRM records
- Research and complete missing contact data (email, phone, organization info)
- Tag and segment records accurately
- Ensure data integrity before campaigns or outreach
- Upload BNI member lists into CRM before meetings
Executive Support
- Review daily meetings and ensure:
- Notes are entered
- Thank-you emails are drafted
- Attachments are included
- Remind the founder of pending actions
- Follow up on missed tasks
- Act as accountability support
Research & List Building
- Conduct deep web research to complete incomplete databases
- Cross-check information for accuracy
- Ensure projects are completed and audited before delivery
Administrative Tasks
- Create new client profiles in QuickBooks (basic setup only)
- Support marketing initiatives
- Help optimize workflows
- Identify opportunities to take work off the founder's plate
Required Skills & Tools
Must Have:
- Experience with GoHighLevel (strongly preferred)
- Strong research skills
- CRM data hygiene experience
- High attention to detail
- Excellent written English
Nice to Have:
- QuickBooks (basic knowledge)
- Microsoft Word & Excel
- ChatGPT proficiency
- Experience supporting founders or fast-paced environments
