Role: Virtual Assistant
Work Arrangement: Work From Home
Location: Any CS Branch - Angeles, Mabalacat, Makati, Ortigas, Tarlac, Davao, Cebu
Schedule: Night Shift

Were looking for a highly experienced Personal Assistant to provide ongoing operational and administrative support. This is not an entry-level role we need someone whos sharp, proactive, and comfortable managing multiple moving parts with minimal supervision.
Communications & Coordination
- Manage daily email inbox, flag urgent items, and draft professional replies.
- Handle follow-ups with clients, contractors, and vendors.
- Maintain a communications log for open action items.
- Attend our weekly Monday and monthly Thursday meetings; prepare agendas, take notes, and track follow-ups.
Contracts & Documents
- Ensure all contracts are signed, stored in the cloud, and tracked for renewal.
- Maintain templates for quotes, checklists, and letters.
Task & Project Management
- Update and maintain Trello boards daily (tasks, due dates, attachments).
- Follow up on overdue tasks and escalate when needed.
- Provide concise weekly summary reports.
Operations Support
- Schedule and coordinate deep cleans, quality checks, and seasonal client touches (flowers, gifts).
- Manage stock ordering: gather contractor needs, place vendor orders, and track deliveries/invoices.
- Research cost-effective suppliers over time.
Client Outreach & Growth
- Send daily outreach emails to local businesses promoting cleaning and janitorial services.
- Track leads and follow-ups in CRM or spreadsheet.
- Support light marketing activities Shopify updates, Instagram posts (12/week), and Google Ads reporting.
Bookkeeping Support
- Handle light bookkeeping and expense tracking in QuickBooks Online.
- Maintain records and assist with simple reconciliations and reports.
Qualification And Requirements
- 3+ years experience as a VA or Personal Assistant for international clients (Canada, UK, or US preferred).
- Excellent spoken and written English must be confident drafting client-facing messages.
- Highly organized, detail-oriented, and able to take initiative without constant direction.
- Experience with:
- - Shopify (store updates, products, content)
- - QuickBooks Online (QBO)
- - Trello or similar task management tools
- - Canva for basic marketing materials or posts
- - Google Workspace (Docs, Sheets, Drive, Calendar)
Non-negotiable Skills & Requirements
