Job Description

The Role:

Our client is looking for a full-time Office Assistant & Bookkeeper to support the daily financial and administrative operations of a single-location restaurant. This remote role is ideal for someone highly organized, detail-oriented, and comfortable working independently with accuracy and accountability. You'll be responsible for daily sales reconciliation, credit card coding, payroll data entry, and administrative supportreporting directly to the Director of Operations

Environment: Philippines and International Teams.

Language: Advanced English (B2+ - C1).

Timezone: 8:00 AM - 5:00 PM Pacific Time

Employment Type: Full-time.

Essential Functions:

Daily Sales Reconciliation

Reconcile daily sales reports across all revenue streams (e.g., cash, credit card, third party).

Validate gross/net sales and investigate discrepancies.

Categorize sales by revenue stream and menu category.

Review and confirm sales tax calculations.

Track and reconcile comps, discounts, and voids.

Allocate tip payouts across service channels.

Maintain clear documentation and audit trails.

Communicate discrepancies to operations and finance teams.

Suggest improvements to reconciliation processes.

Credit Card Coding & Reporting

Categorize credit card charges and ensure accurate coding.

Compile and organize supporting receipts and documentation.

Ensure compliance with accounting and audit standards.

Payroll Support (Data Entry Only)

Enter employee hours, tip payouts, bonuses, reimbursements, and adjustments into the

Access database.

Support the accuracy of payroll data before submission.

Administrative Support

Daily / As Needed:

Create and email private event invoices.

Update the private events deposit log.

File and organize contracts and related documents.

Prepare daily summaries of accounts payable.

Input private event costs into tracking documents.

Annually:

Support IRS filings (1094-C and 1095-C), including:

o Gathering records from ADP and AAOA.

o Preparing and distributing forms.

o Assisting with timely submission.

Requirements:

  • Bachelor's degree or equivalent experience preferred
  • 2 + years of prior experience in bookkeeping, reconciliation, or accounting support.
  • Familiarity with point-of-sale (POS) systems in the restaurant industry.
  • Strong attention to detail and accuracy.
  • Proficiency in Excel.
  • Strong written communication skills.
  • Ability to work full-time remotely during Pacific Time Zone hours.
  • Self-managed and accountable work style
  • Experience in the hospitality or restaurant industry.
  • Familiarity with Toast, Tock, Sage, TripleSeat, and Microsoft Office.
  • Understanding of multi-channel restaurant revenue models.
