Responsibilities
Executive Assistant Duties
- Manage executive calendar, meetings, appointments, and travel arrangements
- Prepare correspondence, reports, presentations, and meeting materials
- Act as liaison between executives, staff, clients, and vendors
- Screen calls and emails; respond or delegate as appropriate
- Maintain confidential files and sensitive company information
- Assist with project coordination and follow-ups
- Organize company events, meetings, and internal communications
- Support HR-related administrative tasks as needed
Bookkeeping & Financial Duties
- Process invoices, payments, expense reports, and reimbursements
- Reconcile bank accounts, credit cards, and general ledger accounts
- Maintain accurate financial records and documentation
- Assist with payroll processing and reporting
- Prepare monthly financial reports for leadership review
- Support budgeting and cash flow tracking
- Coordinate with CPA/accountant for tax filings and audits
- Ensure compliance with financial policies and procedures
Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred
- 3+ years of experience in bookkeeping and executive support
- Strong knowledge of accounting principles and financial reporting
- Proficiency in QuickBooks (Online or Desktop) or similar accounting software
- Advanced proficiency in Microsoft Office (Excel, Word, Outlook)
- Excellent written and verbal communication skills
- Strong organizational and time-management skills
- High level of discretion and confidentiality
- Ability to work independently and meet deadlines
