Job Description

As the Team Leader for Executive Support, your role will be to lead a team of Executive Assistants who provide support to senior leadership across multiple regions. You will be the primary point of contact for in-country executives, understanding their needs and identifying new areas where executive support is required. Coaching and mentoring the team in best practices for executive assistance will be a key responsibility. You will also be responsible for identifying opportunities for process optimization and implementing improvements. Ensuring accurate capture of all activities to enable robust reporting will be essential. Finally, you will develop and maintain a secondary support system to cover annual and unplanned leave for the team.

  • Lead and manage a team of Executive Assistants, providing guidance and support.
  • Serve as the main point of contact for in-country executives, understanding their requirements and ensuring adequate executive support.
  • Identify new areas where executive support is needed and allocate resources accordingly.
  • Coach and mentor the team in best practices for executive assistance.
  • Develop and implement standardized processes and procedures for executive support activities.
  • Continuously evaluate and optimize workflows to improve efficiency and effectiveness.
  • Ensure accurate and timely capture of all activities undertaken by the team for reporting purposes.
  • Analyze data and prepare meaningful reports on team performance and critical metrics.
  • Collaborate with other teams and stakeholders to align executive support services with organizational goals.
  • Stay updated on industry trends and emerging technologies to enhance executive support capabilities.
  • Foster a positive and supportive team culture, promoting collaboration and professional development.
  • Conduct regular performance assessments and provide constructive feedback to team members.
  • Coordinate coverage for annual and unplanned leave within the team to ensure continuity of support.
  • Act as an escalation point for complex issues or challenges the team faces.
  • Advocate for resources and tools needed by the team to carry out their responsibilities effectively.
  • Foster strong relationships with internal stakeholders and executive assistants to facilitate seamless collaboration.
  • Participate in hiring and onboarding processes for new team members.
  • Continuously monitor and assess the team's performance, highlighting areas for improvement and implementing necessary changes.

Requirements:

  • A bachelor's degree or equivalent experience is strongly preferred.
  • At least 2-3 years of executive assistant experience supporting high-level executives.
  • Proven ability to handle confidential information discreetly and diplomatically.
  • Unflappable, flexible, and can overcome a learning curve quickly.
  • Solid communication skills on multiple platforms and mediums (email, text, in-person, video calls, etc.).
  • Excellent presentation skills
  • Tech savvy and familiar with working in the Microsoft Office suite, Adobe Acrobat
  • Ability to lead across multiple time zones.
