Position: Senior Executive Assistant
Number of hours: 40 hours/week
- Manage and optimize executive calendars, including scheduling across time zones
- Screen, prioritize, and respond to emails and messages on behalf of the executive
- Draft, edit, and proofread correspondence, presentations, and reports
- Coordinate virtual meetings, prepare agendas, take notes, and track follow-ups
- Book and manage domestic and international travel, accommodations, and itineraries
- Handle confidential documents and information with professionalism and discretion
- Oversee and follow up on projects, deadlines, and deliverables
- Serve as a liaison between the executive and internal/external stakeholders
- Conduct light research, prepare summaries, and support strategic planning
- Assist with personal and professional administrative tasks as needed
- 7+ years of executive-level administrative experience, with at least 3 years in a virtual/remote capacity
- Previous experience supporting a foreign C-level executive, preferably based in the United States
- Assertive and proactive in taking ownership of tasks to reduce the executive's workload and optimize their schedule
- Strong command of email, calendar, and workflow management tools (e.g., Google Workspace, Microsoft 365, Slack, Zoom, Notion, Asana)
- Excellent written and verbal communication skills
- Proven ability to work independently, take initiative, and manage multiple priorities
- Impeccable attention to detail, discretion, and judgment
- Strong time management, problem-solving, and organizational skills
- Tech-savvy and comfortable learning new systems or software quickly
- Flexible availability during core business hours (with occasional off-hours requests)
