Shift: Night Shift, Weekends Off, 9:00pm-6:00am PH, with flexibility

Qualifications

  • 5+ years of Executive Assistant experience
  • Bachelor's degree or equivalent 4-year degree
  • Strong problem-solving and follow-up skills, with the ability to prioritize high volumes of tasks in a fast-paced environment
  • Excellent written and verbal communication skills, with the ability to interact effectively with stakeholders at all levels
  • Experience in the financial services industry
  • Experience coordinating complex international travel arrangements, including visa processing
  • Strong proficiency in Concur and expense management systems
  • Highly organized, personable, and intuitive, with exceptional interpersonal skills
  • Ability to work standard New York City (EST) business hours regardless of location

Responsibilities

  • Support a small team of professionals with administrative and operational requirements
  • Coordinate a high volume of internal and external meetings and company calls across multiple time zones
  • Arrange domestic and international travel, including flights, accommodations, ground transportation, and visa requirements
  • Prepare detailed travel itineraries and meeting schedules
  • Process expense reports and invoices accurately and efficiently
  • Manage and maintain team calendars
  • Prepare, organize, and maintain materials for internal and external meetings using PowerPoint and the Microsoft Office Suite
  • Assist with ad hoc projects and special assignments as needed
  • Perform additional duties and responsibilities as assigned
