1. Role
The Senior Business Operations Manager is responsible for the design, implementation, and optimization of MultiplyMii's operational systems and data architecture. Reporting to the COO, you act as a strategic partner to the various departments, proactively engaging with team members to identify friction points and simplify their daily workflows. You will join a highly collaborative and experienced BizOps team, where you will work alongside other specialists to share insights, solve complex cross-functional challenges, and ensure a unified approach to our global infrastructure.
Your primary focus is to own the full project lifecycle—from requirement gathering and discovery to technical execution, team training, and change management—ensuring our tech stack provides an accurate Source of Truth while significantly reducing administrative burden for the team.
You are expected to work independently to identify operational gaps and implement scalable solutions that improve overall company productivity.
2. Responsibilities
- Stakeholder Engagement & Requirement Gathering: Proactively interface with leads across Recruitment, Client Success, Sales, Marketing, and Finance. Audit workflows, identify friction points, and translate business challenges into technical requirements.
- System Architecture & Infrastructure: Design and maintain the backend infrastructure of the company's tech stack. Ensure all systems are integrated seamlessly to support scaling and maintain a stable, efficient operational environment.
- Data Architecture & Visualization: Design back-end data structures to ensure information is organized correctly. Build and maintain high-impact dashboards that empower leadership to make data-driven decisions.
- Data Integrity & Interrogation: Regularly interrogate data inconsistencies to ensure accuracy across all platforms. Extract value from complex data sets to ensure a reliable and trustworthy Source of Truth.
- Project Management & Sprint Execution: Independently scope and self-manage projects using ClickUp. Operate within a sprint methodology, participating in daily standups to ensure transparency and timely delivery.
- Operational Debt Mitigation: Conduct regular audits of internal systems to archive unused properties, simplify cluttered workflows, and ensure the tech stack remains lean and user-friendly.
- Automation & Workflow Optimization: Build and manage complex automations (via Zapier or Make) to bridge gaps between platforms and eliminate manual data entry.
- Training, Change Management & Documentation: Lead the rollout of new processes by creating clear technical documentation and conducting team training. Provide ongoing support and proactive problem-solving to ensure high adoption.
3. Results
- Data Integrity & Trust: Establish a definitive Source of Truth where success is defined by the absolute reliability of our data architecture, allowing leadership to act on system insights with zero manual verification.
- Proactive Problem Identification: Shift the BizOps function from a reactive state to a proactive partnership by identifying friction points and architecting solutions before they impact performance.
- Optimization of Human Capital: Measurably reduce administrative drag by ruthlessly eliminating operational debt and automating low-value tasks, allowing teams to focus on high-value, strategic work. You will ensure our internal systems are architected to support non-linear growth, allowing MultiplyMii to handle significantly higher volume without a proportional increase in headcount.
- Data Empowerment & Literacy: Transition the organization toward a self-service data culture through intuitive dashboards and training that empower team members to leverage real-time data for daily decisions.
- Autonomous Operating Systems: Architect self-maintaining internal systems that operate with minimal human intervention, aggressively reducing manual inputs, dependencies, and failure points while preserving control, visibility, and scalability.
4. Requirements
AI Fluency
- Deep, hands-on experience using AI-powered productivity tools (such as Cursor or Claude) and AI-native integrations to build smarter business workflows.
- Proven track record of building and shipping AI-powered workflows that replace manual processes — we're not looking for someone who drafts emails in ChatGPT; we're looking for someone who's built the agent that drafts, reviews, and sends them.
- Forward-thinking and experimental. You test new AI tools the week they launch and come back with something the team can actually use.
- You treat AI as the first question on every new workflow (can this be agentic), not an optional layer bolted on afterward.
Core BizOps Stack
- 3+ years in HubSpot (Sales, Marketing & Ops Hubs) — dashboards, workflows, custom objects, property architecture.
- Strong Excel and Google Sheets — pivots, advanced formulas, data modeling.
- Working knowledge of SQL.
- Zapier or Make — multi-step, logic-based scenarios.
- Comfortable running discovery sessions and documenting technical requirements independently.
- Experience with Agile/Sprint delivery (ClickUp or Jira).
- Nice-to-haves: Stripe billing, custom API integrations.
Experience & Mindset
- 5+ years in Business Operations, Sales Operations, or Systems Architect roles.
- Familiar with how modern Sales, Marketing, Recruitment, and Client Success teams operate and the KPIs that measure them.
- Able to produce clear SOPs and run live training for global, remote teams.
- Exceptional English — able to push back on stakeholders and interrogate inconsistencies.
- Thrives in a flat, fully remote environment with high autonomy.
