In this role, you'll help manage client communications, track sales opportunities, prepare key documents, and collaborate with different departments to ensure every engagement is seamless and successful.
Compensation & Perks
Salary Range: Up to 70,000/month or $7/hour (Final offer based on skills and experience matched to role requirements)

What You'll Do
1) Client & Deal Flow Coordination
- Join prospect and client calls using AI notetakers to capture detailed notes, key points, and next steps, then log all updates in HubSpot or ClickUp within 2 hours to keep records current.
- Prepare tailored sales dossiers, meeting briefs, and follow-up materials to ensure well-informed client interactions.
- Coordinate with internal teams including founders, delivery, legal, and finance on contracts, invoicing, and client deadlines to prevent bottlenecks.
2) Sales Outreach & Pipeline Management
- Conduct outbound research on target accounts, prospects, industries, and competitors using tools like LinkedIn Sales Navigator, Apollo, or HeyReach, and launch personalized outreach campaigns to drive engagement and book qualified discovery calls.
- Maintain a clean, organized CRM and sales pipeline in HubSpot and ClickUp, running consistent follow-ups via email, phone, and LinkedIn to nurture leads and keep deals moving forward.
3) Contract & Post-Sale Coordination
- Draft, manage, and track SOWs, NDAs, and contracts through signature, and collaborate with finance on billing and invoicing details.
- Serve as the first line of client support for post-sale issues, capturing feedback, identifying upsell or expansion opportunities, and escalating concerns to the right teams when needed.
4) Reporting & Process Optimization
- Build weekly dashboards and reports to highlight stuck deals, upcoming renewals, and at-risk follow-ups, and conduct quarterly win/loss analyses to improve sales effectiveness.
- Automate repetitive tasks and workflows using tools like Zapier, HubSpot Workflows, or AI solutions, while proactively suggesting process improvements to streamline the entire sales cycle.
5) Relationship & Client Engagement
- Track client birthdays and milestones, sending personalized messages or small gifts to strengthen relationships, and support Account Executives in maintaining consistent, meaningful communication with prospects and clients.
What We're Looking For
- 2+ years of experience as a Sales Assistant, Client Enablement Specialist, or Account Coordinator
- Excellent organizational, note-taking, and communication skills you love keeping things on track
- Strong verbal communication and confidence in client-facing interactions
- Proficiency in CRM tools (HubSpot preferred), project management platforms (ClickUp preferred), and Google Workspace
- Proactive, detail-oriented, and always two steps ahead of your Account Executive
Nice to Have
- Experience in a marketing agency or professional services setting
- Understanding of marketing workflows and client relationship management
- Experience supporting executives in sales or client-facing environments
- Familiarity with outbound prospecting or market research techniques
