CLIENT BACKGROUND

Most churches struggle with financial uncertainty and inconsistent financial systems. Our client helps churches gain financial clarity through outsourced accounting services, allowing ministry leaders to focus on their mission.

The founder, a former pastor and experienced accounting professional, their firm understands both the financial and leadership realities churches face.

They combine strong financial systems, clear internal processes, a distributed bookkeeping team, client-facing accounting leadership to provide churches with reliable financial reporting and operational clarity.

HOW THE TEAM WORKS:

Our work is structured to ensure accuracy, efficiency, and clear accountability:

  • Accounting Managers define the tasks required for each client based on the services included in the engagement and communicate directly with clients
  • Team Leaders ensure those tasks are completed by the bookkeeping team, review the work, and provide training and support
  • Bookkeepers execute the day-to-day work based on those defined tasks and communicate directly with clients when information is missing

This structure allows work to flow efficiently while maintaining high standards of accuracy.

DUTIES AND RESPONSIBILITIES:

Core Bookkeeping

  • Perform weekly bookkeeping tasks in QuickBooks Online
  • Record financial transactions based on the workflow defined for each client
  • Maintain and manage the chart of accounts, classes, and locations for accurate financial reporting

Reporting Support

  • Assist in generating meaningful month-end reports, including:
  • Statement of Financial Position
  • Statement of Activity
  • Budget vs. Actuals
  • Support the Accounting Manager by ensuring all required tasks are completed prior to reporting

Expense & Bill Pay Management

  • Manage credit card expenses using platforms like Ramp and Bill.com
  • Sync credit card and expense activity from Ramp or Bill.com into QuickBooks Online
  • Process Accounts Payable using Bill.com and Ramp based on client workflows

Payroll Processing

  • Process payroll using platforms such as Gusto, iSolved, ADP, and Paychex
  • Update employee information such as salary and deductions based on instructions provided by the client
  • Record payroll transactions in QuickBooks Online

Donor & Deposit Management (Church-Specific)

  • Accurately code deposits from donation records in church management software, including Planning Center, CCB, ACS, Fellowship One, and Pushpay
  • Review donor management systems to match giving activity with actual deposits recorded in QuickBooks
  • Assist in the monthly reconciliation process to ensure donor management system totals match QuickBooks
  • Work with the Team Leader to investigate and resolve discrepancies

Vendor & Compliance Support

  • Track data for W-9 retrieval and ensure vendor records are properly maintained
  • Enter vendor information into QuickBooks Online and Double according to firm processes
  • Support 1099 reporting processes at year-end

Communication

  • Communicate effectively with clients regarding missing information and bookkeeping questions
  • Contact clients directly when clarification is needed (e.g., missing transaction details, vendor info, or deposit questions)
  • Ask questions when processes or transactions are unclear
  • Escalate issues to the Team Leader when they cannot be resolved or require accounting judgment

QUALIFICATIONS

  • 1–3 years of bookkeeping experience in a U.S. private or public accounting firm
  • Strong hands-on bookkeeping experience (not just academic knowledge)
  • Training in bookkeeping and accounting
  • Proficiency in cloud-based accounting systems and financial processes; QuickBooks Online experience required (certification is a plus)
  • Proficiency with church management software is strongly preferred
  • Familiarity with tools such as Ramp, Bill.com, Gusto or other payroll software
  • Proficiency in Google Suite and Microsoft Excel
  • Ability to review and apply instructional/training videos using Loom
  • Self-motivated and capable of working independently while collaborating in a virtual team environment
  • High ethical standards and professionalism
  • Strong communication skills
  • A passion for supporting churches and nonprofit organizations
