Job Description

Summary Of Work Activities And Responsibilities

The Registration Officer for Quality Assurance I supports the improvement and maintenance of the accuracy, quality, and integrity of academic data and information managed by the Office of the University Registrar. The role ensures proper data management, curriculum documentation, and system updates while supporting institutional reporting, registration processes, and curriculum implementation. The position also contributes to maintaining the student information system and official academic publications, ensuring compliance with institutional and regulatory standards.

Main Duties And Responsibilities

Data and Information Management:

  • Screens, mines, processes, and provides academic and administrative data required by internal offices, external organizations (such as accrediting bodies and regulatory agencies), and student stakeholders. Reviews and updates official academic materials including bulletins, manuals, handbooks, and related documents to ensure accuracy and consistency.

Coordination And Systems Support

  • Collaborates with Digital Information and Technology Services to enhance and maintain the Ateneo Integrated Student Information System (AISIS), ensuring accurate encoding, automation, and proper implementation of academic data, curricular versions, and registration-related information. Supports dissemination of official announcements, registration schedules, and procedural updates through AISIS and online platforms. Works with the University Marketing and Communications Office to maintain and improve the office website and digital communications.

Registration Process Support

  • Assists in ensuring the accuracy and completeness of course offerings, preventing scheduling conflicts, and aligning class availability with student demand. Supports preparation and updating of the academic calendar, registration templates, and official records related to enrollment and academic scheduling.

Curriculum Development And Implementation

  • Supports the review, documentation, and implementation of academic curricula in coordination with academic departments and university leadership. Ensures compliance with regulatory requirements, including CHED-approved curricula, and assists in curriculum revisions, new program implementation, and subject offerings. Maintains proper archiving and documentation of curricular records.

Administrative And Quality Assurance Support

  • Contributes to improving internal systems, processes, and quality assurance practices related to academic records and registration. Serves as a resource for accurate records management and registration policies. Supports special projects, maintains official communication platforms including social media, and ensures accurate dissemination of information.

Knowledge, Skills, And Abilities

  • Requires strong data analysis and management skills, attention to detail, computer literacy, effective communication, and a strong focus on quality assurance. The role requires the ability to manage academic data accurately, support institutional reporting, and coordinate with multiple stakeholders while ensuring compliance with academic and regulatory standards.

Minimum Qualifications

Education and Experience Requirements:

  • Graduate of any Bachelor's Degree, no specific course requirement needed
  • Experience in the academe, either basic education or higher education is an advantage but not required
