Role Description

This is a full-time, on-site role based in Pasay for a Recruitment, Liaison & Documentation Assistant. The role involves coordinating recruitment processes, acting as a liaison between relevant stakeholders, preparing and managing documentation, ensuring proper recordkeeping, and ensuring compliance with company and regulatory requirements. The Assistant will handle export documentation, maintain archives, and communicate effectively with internal teams, clients, and external partners to ensure smooth operational workflows.

Job Title: Recruitment, Liaison & Documentation Assistant

Summary of Job Responsibilities:

Recruitment & Documentation Management

  • Handle all documentation requirements related to the recruitment and deployment of seafarer vessel crews.
  • Ensure all applicant documents comply with maritime standards, company requirements, and DMW regulations.

Applicant Support & System Assistance

  • Collect and verify seafarers required certifications, licenses, and travel documents (e.g., STCW certificates, SRC, Passport, Seaman's Book, medicals, etc.).
  • Assist applicants with encoding, updating, and monitoring their profiles in the Marine Personnel System or other companymandated digital platforms.

Records Organization & PreEmployment Checks

  • Maintain organized hiring records, including CV preparation, employment history verification, background/character reference checks, and prevalidation of maritime documents.
  • Ensure all records are complete and auditready for internal use and for submission to DMW and other regulatory bodies.

Liaison with DMW and Other Maritime Agencies

  • Coordinate with the Department of Migrant Workers (DMW) for contract processing, verification, compliance updates, and crew deployment requirements.
  • Facilitate communication with affiliated maritime agencies such as MARINA, POEADMW, DOHaccredited clinics, and training centers when needed.

Coordination with Recruitment Supervisor

  • Work closely with the Recruitment Supervisor to meet vesselspecific manning requirements and client standards.
  • Support crew scheduling, documentation deadlines, and predeparture preparations to ensure timely embarkation.
