Real Estate Transaction Coordinator

Position Type: Full Time

Location: Philippines (Remote)

Schedule: Mon-Fri, 9AM to 5PM CST

Total Monthly Cost: P50,000 - P75,000 (negotiable)

Our client is a fast-growing U.S.-based real estate organization operating across multiple property entities. The business manages complex, multi-entity financial operations and is in a growth phase that requires strengthening its accounting function. With a lean internal team and increasing transaction volume, the company values accuracy, accountability, and professionals who can operate independently while maintaining consistent, reliable processes.

About the Role

This role supports a team of onshore Transaction Coordinators by taking on administrative and coordination tasks across active real estate deals. You'll serve as a bridge between internal teams (agents and managers) and external partners like title companies, helping keep transactions moving efficiently.

The focus is on staying organized, detail-oriented, and consistent—ensuring documents are in order, deadlines are met, and processes run smoothly. You'll work closely with US-based Transaction Coordinators who oversee each deal while you help drive execution behind the scenes.

This is an excellent opportunity for someone with strong administrative experience who is interested in growing into a full-fledged Transaction Coordinator role over time.

Responsibilities

  • Support transaction coordination from contract to close across multiple deals
  • Provide daily administrative support to onshore Transaction Coordinators
  • Manage and organize high volumes of email communication
  • Assist with document management, file organization, and data entry
  • Track key dates, deadlines, and required documents across transactions
  • Coordinate with title companies to monitor transaction progress and updates
  • Review contracts and supporting documents for completeness and accuracy
  • Assist in processing and approving earnest money requests
  • Follow up on transaction-related items (e.g., deposits, documentation, contingencies)
  • Update internal systems, spreadsheets, and transaction management tools (e.g., Salesforce)
  • Help prepare files for closing and ensure all required items are complete
  • Support weekly and monthly file closing processes
  • Assist with basic funding tasks (e.g., entering wire details, verifying information)
  • Input and reconcile transaction data related to payroll and accounting processes
  • Communicate with internal team members to flag missing items or potential issues
  • Provide general administrative and process support as needed

Competencies and Qualifications

Must-Have

  • 2-5 years of experience in real estate, transaction coordination, administrative support, or executive assistance
  • Excellent written and verbal communication skills (English)
  • Strong attention to detail and accuracy
  • Ability to follow structured processes
  • Organized and reliable with consistent follow-through
  • Comfortable working with spreadsheets, systems, and checklists
  • Ability to manage multiple tasks and meet deadlines
  • Willingness to learn U.S. real estate transaction processes

Nice-to-Have

  • Exposure to wholesale or double-close transactions
  • Basic understanding of accounting, funding, or wires
