Overview
We are seeking a highly organized and results-driven Onboarding Specialist & Project Manager to oversee client onboarding projects while managing timelines, deadlines, and team accountability. This role is responsible for ensuring all client onboarding initiatives are delivered on time and that the broader team remains aligned, productive, and accountable.
The ideal candidate has strong project management experience, excels in cross-functional coordination, and is highly proficient in ClickUp for task tracking, workflow management, dashboards, and reporting.
Key responsibilities
Client onboarding management
- Own and manage the end-to-end client onboarding process from kickoff through completion
- Ensure onboarding milestones, deliverables, and timelines are clearly defined and met
- Act as the primary coordinator between internal teams and stakeholders during onboarding
- Identify risks, delays, or bottlenecks and proactively implement solutions
Project and deadline oversight
- Oversee deadlines and workload distribution across the entire team
- Track progress across multiple projects simultaneously and ensure alignment with priorities
- Hold team members accountable for assigned tasks and delivery timelines
- Escalate risks and missed deadlines when necessary and implement corrective actions
Team Leadership & Accountability
- Conduct weekly team stand-up meetings to review progress, upcoming deadlines, blockers, and priorities
- Ensure each team member is delivering work within agreed deadlines
- Drive accountability, productivity, and consistent execution across the team
- Provide clarity on expectations and support removal of blockers
Process, Productivity & Reporting
- Build, manage, and optimize workflows in ClickUp
- Create and maintain productivity dashboards, reporting views, and KPIs for management review
- Track individual and team performance metrics related to deadlines, throughput, and delivery quality
- Ensure ClickUp is used as the single source of truth for project and onboarding status
- Continuously refine processes to improve efficiency, visibility, and scalability
Communication & Collaboration
- Serve as a central communication hub between team members, leadership, and stakeholders
- Deliver clear status updates and reports to management
- Maintain transparent documentation and reporting for all active projects
Required qualifications
- Proven experience in project management and client onboarding
- Strong hands-on experience with ClickUp (required)
- Demonstrated ability to manage multiple projects and deadlines
- Excellent organizational, leadership, and time-management skills
- Strong written and verbal communication abilities
- Data-driven mindset with experience using dashboards and reporting tools
Preferred qualifications
- Experience in a client-facing, agency, or SaaS environment
- Experience defining and tracking productivity metrics
- Familiarity with SOP creation and process documentation
- Project management certification (PMP, Agile, Scrum) is a plus
