Key Responsibilities

  • Own the full operations function of the agency end-to-end, including workflows, SOPs, team structure, internal processes, and quality standards
  • Manage client delivery pipelines, ensure placements are completed on time, communication is consistent, and client satisfaction is maintained
  • Hire, onboard, train, and lead internal team members including recruiters, sourcing specialists, coordinators, and virtual assistants
  • Design, document, and continuously improve SOPs covering every core function of the agency: sourcing, screening, client communication, onboarding, and reporting
  • Identify bottlenecks, inefficiencies, and gaps in the operation and resolve them independently without waiting to be directed
  • Build and track performance metrics for the team, monitor recruiter output, time-to-fill, placement rates, and client retention
  • Act as the operational link between leadership and the team, ensuring decisions are executed and standards are upheld
  • Lead capacity planning as the agency takes on new clients, scale the team and processes ahead of demand, not in reaction to it
  • Work closely with leadership to align operational strategy with business growth goals

Requirements

  • Minimum 2–3 years in a senior operations role (Operations Manager, Head of Operations, or equivalent) at a remote staffing agency or talent placement company, this is the single most important requirement and non-negotiable
  • Proven track record of managing remote recruiter teams and delivering placements consistently to clients
  • Deep experience writing and implementing SOPs for staffing workflows from scratch
  • Strong people management skills, you have hired, trained, and performance-managed team members remotely
  • Excellent communication skills in English, written and verbal, professional level
  • Highly organized, self-directed, and comfortable operating without micromanagement
  • Ability to read operational data, identify trends, and make decisions based on numbers

Nice to Have

  • Experience scaling a staffing agency from early-stage operations to a structured, multi-team setup
  • Familiarity with hiring markets across Philippines, Latin America, and Eastern Europe
  • Experience working directly with founders or C-level leadership in a fast-moving startup environment
