The Opportunity at a GlanceJoin a growing organization in the training, compliance, and regulated services industry, operating within highly structured environments that require precision, accuracy, and adherence to ISO standards. This is not a typical admin role. You'll be working at the core of operations—supporting ISO compliance, training coordination, and client-facing documentation, ensuring all outputs are accurate, audit-ready, and aligned with regulatory frameworks.
Over time, this role is designed to grow into a more senior and potentially leadership position, supporting both internal operations and external client work. This is ideal for someone who is detail-driven, process-oriented, and experienced in ISO or compliance environments—not just general administration.
How You'll Make an Impact
- Coordinate training sessions, schedules, and student communication
- Maintain accurate records of training participants and program data
- Review, edit, and prepare ISO-aligned reports and documentation
- Ensure all documentation is accurate, structured, and audit-ready
- Perform document control and maintain compliance registers
- Review auditor submissions and identify:
- Missing information
- Gaps in documentation
- Areas requiring improvement or further evidence
- Support external clients by:
- Documenting ISO procedures and management systems
- Updating compliance frameworks and documentation
- Maintaining registers (non-conformances, hazards, incidents)
- Performing basic gap analysis against standards and legislation
- Maintain data accuracy across systems and reports
- Assist with website updates and internal system improvements
- Support general operations, administration, and reporting
- Contribute to improving workflows and documentation processes
- Over time, support team development and mentor junior staff
What We're Looking For - You're the Perfect Fit if You:(Non-negotiable requirements)
- Are based in the Philippines
- Have proven experience in an administrative or operations support role
- Have strong ISO exposure (MANDATORY):
- Worked in an ISO-certified environment, OR
- Completed formal ISO training/certification
- Have strong understanding of:
- ISO standards, compliance frameworks, and documentation
- Are highly detail-oriented and capable of producing audit-ready outputs
- Have strong written communication skills (reporting and documentation-heavy role)
- Are a self-starter who can work independently without constant direction
- Can manage multiple priorities in a structured, process-driven environment
What Sets You Apart - You'll Shine Even Brighter With:
- Experience in QHSE (Quality, Health, Safety & Environmental) environments
- Exposure to maritime, training, or regulated industries
- Experience in document control and compliance register management
- Experience reviewing audit documentation (not just preparing it)
- Experience conducting gap analysis or interpreting standards
- Experience mentoring or leading small teams
Work Schedule & Employment Terms
- Full-Time | Monday to Friday | 6:00 AM - 3:00 PM PHT
- Remote work setup
- Open to PH-based applicants only
- Philippine-based employment only
