- Assists with maintenance of inventory of office equipment and supplies at the extension training facility, ensuring that critical inventories are maintained.
- Ensures compliance with relevant procedures as written in the Company Quality Assurance Manuals.
- Assists with filing and updating documents, records as and when required.
- Assists during special events, such as annual meetings, conferences and seminars.
- Provides secretarial services and generally assist the instructors to ensure smooth operation of the courses.
- Performs general clerical duties to include, but not be limited to, copying, scanning, faxing, mailing, document creation and filing.
- Provides back-up functions to main training centre (Aseana) as and when required.
- Communicate and liaise with the building administration as and when necessary.
- Assists with housekeeping and maintenance tasks to maintain the extension Training Centre (La Fuerza) in clean, operational and safe conditions at all times
Requirements
- Education: 4-year course graduate: business/administration/travel/hospitality preferred
- Experience: 1- year work experience preferred but fresh grads are also welcome to apply
- Specific Business Knowledge: General office administration
- Well versed in MS Word, Excel, Power Point and general digital data management
- Ability to learn and operate various Company required applications including accounting, visitor management system systems, communication and collaboration tools
- Verbal and written Communication, collaboration with external parties and within the organization
- Good coordination skills within the team and with other stakeholders - coordination with vendors, service providers
- Organization and strategic time management - organized and ability to manage tasks within required time frames
- Proactive problem detection and solving
- Adaptive and flexible in a dynamic environment
- Discretion and confidentiality when handling sensitive organizational information
