Role Overview:

We're looking for a Virtual Practice Assistant / Medical Admin Support who can manage behind-the-scenes administrative, operational, and client coordination tasks. The goal is to ensure smooth day-to-day operations, efficient communication, and proper support for both practitioners and clients.

Importantly, this person should demonstrate strong initiative. Someone who doesn't just wait for instructions but can anticipate needs, take ownership of their tasks, and proactively help the business run efficiently.

Key Responsibilities:

  • Respond to emails and voicemails promptly and professionally.
  • Manage client diaries, appointments, and follow-ups.
  • Assist with onboarding of new staff, including setup and 1:1 training.
  • Handle files, reports, and forms via Google Chrome and Dropbox.
  • Use and maintain practice management systems (Halaxy, Cliniko, OMS) for client and admin records.
  • Perform bank reconciliations, basic invoicing, and support accounting tasks.
  • Support general admin coordination for the business as needed.

Ideal Background:

  • Experience in an administrative or virtual support role within a medical or allied health practice.
  • Familiar with medical terminology, confidentiality, and workflow in healthcare settings.
  • Strong communication skills, organization, and attention to detail.
  • Comfortable working with multiple online systems and cloud-based tools.

Work Setup:

  • Remote – Philippines-based
  • Full-time – 8 hours per day, Mondays to Fridays.
