The Logistics Staff is responsible for the efficient handling, documentation, and distribution of corrugated boxes and raw materials. The role ensures timely deliveries, accurate invoicing, and proper coordination with Sales, Production, Warehouse, and Accounting to meet customer requirements.
Dispatch and Delivery Coordination
- Prepare and schedule deliveries based on customer orders and production output
- Coordinate with drivers and helpers for timely dispatch
- Ensure completeness of delivery requirements prior to release of goods
- Monitor delivery status and ensure on-time completion
- Invoicing and Documentation
- Prepare and process Sales Invoices and Delivery Receipts (DR) based on approved Sales Orders
- Ensure accuracy of details such as customer information, product specifications (size, flute, ECT), quantity, and pricing
- Coordinate with Accounting for invoice verification, approval, and posting
- Ensure all delivery documents are properly signed and acknowledged by customers
- Maintain organized filing of invoices, DRs, and related logistics documents
- Monitor and report discrepancies between delivered and invoiced items
- Warehouse Coordination
- Assist in loading and unloading of materials and finished products
- Ensure proper handling of corrugated boxes to prevent damage
- Maintain cleanliness and orderliness of the warehouse area
- Coordinate with warehouse personnel regarding product availability and release schedules
- Reporting and Monitoring
- Prepare logistics reports such as delivery status, dispatch logs, and pending deliveries
- Track and update delivery and invoicing status regularly
- Encode and maintain records in logistics or inventory systems (if applicable)
- Coordination
- Coordinate with Production for finished goods availability
- Work closely with Sales for order requirements and delivery schedules
- Coordinate with Accounting regarding invoicing and billing concerns
- Communicate with customers regarding delivery updates when necessary
- Compliance and Safety
- Follow company policies, standard operating procedures, and safety guidelines
- Ensure proper handling and transport of goods to prevent damage or loss
Qualifications
- Graduate of any business-related, logistics, or accounting-related course
- At least 1 year experience in logistics, warehouse, or invoicing (manufacturing experience is an advantage)
- Knowledge in invoicing systems and documentation processes
- Detail-oriented and highly organized
- Able to work under pressure and meet deadlines
