The Invoicing Clerk processes dealers orders accurately and on time, ensures compliance with invoicing and cash-handling procedures, supports sales through cross-selling and upselling, and delivers professional customer service to support branch performance.
- Order Processing and Management
- Validates the identity of transacting dealers before order processing to ensure accuracy and compliance.
- Performs suggestive selling and upselling to help increase average basket size, in line with approved selling guidelines.
- Processes customer orders in accordance with standard operating procedures, including compliance with Authority to Purchase (ATP) and Voluntary Surety (VS) requirements.
- Verifies released products against issued invoices to ensure completeness and accuracy.
- Processes Monthly Complementary Products (MCP) transactions for branch employees in accordance with policy.
- Encodes new recruits data to the system.
- Repeat Purchase Order
- Conducts Repeat Purchase Order (RPO) and Heart-to-Heart (H2H) calls as required.
- Documents and provides feedback on unsuccessful or failed H2H calls to the Branch Manager to support follow-through actions.
- Cash Management
- Performs end-of-day (EOD) cash count for cash transactions and ensures proper turnover to the Happy Customer Retention (HCR) personnel.
- Ensures accuracy and completeness of cash-related records before endorsement.
- Supermarket Upkeep
- Checks and helps ensure product availability in the supermarket area.
- Supports compliance with the approved planogram and monthly trade marketing guidelines.
- Maintains adherence to branch supermarket upkeep standards, including 5S practices.
- Customer Service
- Demonstrates friendly, respectful, and professional conduct in all interactions with dealers and customers.
- Provides accurate and timely assistance to support a positive customer experience.
Other Tasks
- Attends company-wide events, engagement activities, and team-building sessions.
- Represents the department in cross-functional committees or projects.
- Follows all company policies, procedures, and regulatory requirements.
- Performs other related duties and responsibilities as may be assigned from time to time.
