About the Role

WeAssist is growing quickly, and we are looking for a detail-oriented, proactive, and relationship-driven Onboarding Account Manager to help ensure every client and outsourced professional has a smooth and successful onboarding experience.

In this role, you will support the first 90 days of an outsourced professional's engagement with a client. You will help coordinate onboarding calls, conduct performance check-ins, track action items, maintain accurate records, and ensure communication remains clear across clients, outsourced professionals, and internal teams.

This is an ideal opportunity for someone who enjoys building relationships, creating structure, solving problems, and helping people succeed in a fast-paced remote environment.

Key Responsibilities

90-Day Fulfillment and Performance Check-Ins

  • You will conduct weekly client check-in calls during the first 12 weeks of an outsourced professional's engagement. These calls are designed to assess performance, identify challenges, provide support, and ensure the client and outsourced professional are set up for long-term success.
  • You will also gather client feedback and success stories that highlight the value and impact of our outsourced professionals.
  • As you grow in the role, you may also support:
  • Hand-off calls before an outsourced professional's start date
  • VA catch-up calls to address client concerns and provide support
  • Graduation calls to review progress, celebrate milestones, and confirm continued success

Calendar and Meeting Coordination

You will coordinate and schedule hand-off calls, onboarding check-ins, performance discussions, and other client-related meetings. This includes ensuring the right internal and external stakeholders are included, such as Client Success team members, clients, and outsourced professionals.

Administrative Support

You will help prepare customized onboarding materials for each client, including scripts, company summaries, client details, outsourced professional details, and logistical information.

You will also track key takeaways, next steps, and action items from calls, ensuring timely follow-up with internal teams and external stakeholders.

Additional administrative responsibilities include:

  • Maintaining accurate OP and client records in ClickUp
  • Updating relevant cards and documentation daily and weekly
  • Uploading Zoom recordings for hand-off calls, check-ins, and graduation calls
  • Supporting monthly reporting and 90-day account meetings

Communication and Relationship Management

You will serve as a key point of contact for onboarding-related updates. This includes scheduling, onboarding materials, policy clarifications, warm introduction emails, and general onboarding support.

You will communicate regularly with:

  • Clients, to ensure they feel supported and informed
  • Outsourced professionals, to help them align with client expectations
  • Internal team members, to streamline the onboarding process and resolve challenges quickly

You will use tools such as Slack, email, and potentially WhatsApp to support real-time communication and relationship-building.

Schedule and Work Setup

Schedule: 10:00 AM to 7:00 PM Pacific Time

Location: Remote

Because this is a remote role, you must have a professional work setup, including:
