We are looking for a highly organized and dependable Marketing Operations Coordinator to support our marketing and inbound operations functions.

This is an execution-focused role for someone who enjoys keeping systems organized, completing recurring operational work accurately, and proactively following through without needing constant reminders.

Role Overview

This role is responsible for supporting recurring marketing operations and inbound coordination activities.

You will work closely with US-based leadership and help maintain the day-to-day operational functions behind marketing, CRM management, inbound lead flow, reporting, and website coordination.

This is NOT a strategy or content creator role.

This IS a detail-oriented operations and coordination role.

Core Responsibilities

HubSpot & CRM Operations

- Maintain CRM hygiene and contact database accuracy

- Review and clean inbound form submissions daily

- Update lifecycle stages, company/contact records, and tags

- Identify duplicate or incomplete records

- Ensure inbound leads are routed correctly and tracked

ClickUp Task & Workflow Management

- Maintain and update marketing tasks and workflows in ClickUp

- Ensure tasks are properly assigned, tracked, and completed

- Keep recurring task lists organized and current

- Flag overdue or blocked tasks proactively

Inbound Lead Coordination

- Monitor inbound marketing forms and requests

- Assign and track follow-up activities internally

- Ensure timely responses and proper lead documentation

- Escalate urgent items proactively

Website & Marketing Asset Coordination

- Upload and manage customer/company logos

- Coordinate simple website content or image updates

- Organize marketing files, assets, and folders

- Support presentation and collateral formatting as needed

Email Marketing & Campaign Support

- Support execution of email campaigns using email marketing tools

- Schedule and maintain email campaign workflows

- Ensure contact lists are accurate and properly segmented

- Assist with basic campaign setup and tracking (under direction)

Reporting & Metrics

- Maintain recurring marketing metrics reports

- Track marketing spend and campaign activity

- Update weekly dashboards and trackers

- Compile LinkedIn and website engagement reporting

Content & Video Support (Basic Execution)

- Perform basic video editing tasks (cutting, trimming, formatting, simple edits)

- Support repurposing of marketing content into usable formats

- Organize and prepare content assets for distribution

Operational Support

- Maintain recurring task trackers and checklists

- Follow up proactively on incomplete items

- Communicate blockers or issues quickly

- Support the marketing and sales coordination process

# Requirements

## Education

- Bachelor's degree preferred in:

  - Marketing

  - Business Administration

  - Communications

  - Information Systems

  - or related field

- Equivalent experience in marketing operations, virtual assistance, or administrative support may be considered

## Must-Have Skills

- Strong written English and verbal communication

- High attention to detail

- Strong organizational skills

- Ability to follow recurring processes consistently

- Comfortable working independently in a remote environment

- Responsive and reliable during working hours

## Preferred Experience

- 1–3 years in marketing operations, CRM coordination, virtual assistant, or administrative support role

- Experience with HubSpot or similar CRM systems

- Experience with ClickUp or task management tools

- Experience with email marketing tools (e.g., Mailchimp, HubSpot, ActiveCampaign, or similar)

- Basic video editing experience (CapCut, Canva, Adobe Premiere, or similar)

- Experience supporting US-based teams
