Job Summary

The HR Associate provides support across multiple Human Resources functional areas, including but not limited to Talent Acquisition, Total Rewards, Performance Management, Employee Engagement, Learning and Development, and Discipline. The role requires a professional with a strong sense of empathy, the ability to manage responsibilities across various HR facets, and a willingness to continuously learn and take on cross-functional assignments. The HR Associate facilitates effective communication between employees and Management while ensuring a balance between employee welfare and the organizations business objectives.

Duties And Responsibilities

  • Talent Aquisition
  • Screening of potential candidates ensuring interviews have high employability potential
  • Scheduling of interviews by reaching out both to the candidates and the interviewers availability
  • Sends out calendar invites and reminders to all interview attendees
  • Conducts interviews for non-technical and non-officer-level candidates
  • Coordinates with the candidates for the requirements and ensures complete submission of the requirements
  • Coordinates with IT for the creation of login credentials of the incoming new hires
  • Coordinates with the onboarding/training team the batch schedule of HR Onboarding
  • Prepares and updates the onboarding/training materials and resources
  • Facilitates short games, ice breakers, or other creative activities during session
  • Facilitates knowledge checks and feedback sessions with the participants
  • Create new hire announcement designs
  • Creation of initial 201 file of the employees
  • Total Rewards
  • Ensures all time entries are verified and any issues were confirmed with the employee and/or immediate head
  • Ensures the high integrity of employee leave usage and balances in the HRIS
  • Maintains a manual monitoring of employee leave
  • Resolves any timekeeping related issues following the existing guidelines and policies
  • Assist employees in availing statutory benefits such as but not limited to sss sickness and maternity benefit, philhealth documentary requirements, magnacarta leave, EC and disability claims.
  • Assist employees in filing SSS and HDMF salary or calamity loan
  • Filing of reports, claims and applications to sss, philhealth, hdmf and DOLE.
  • Facilitates any company initiated benefits and coordinates with corresponding point person
  • Employee Relations
  • Gets involved in planning, preparation, coordination and implementation of company events
  • Preparation of event announcement materials and design templates
  • Source out and coordinates with quality and trusted suppliers
  • Prepares budget requests and coordinates with the Finance department
  • Ensures proper documentation and filing
  • Conducts counseling as needed
  • Prepares necessary documentation such as but not limited to notice to explain and notice of decision to employees
  • Preparation and submission of reports DOLE
  • Ensures proper collection and documentation
  • Performance Management
  • Monitors probationary period timeline, prepares probationary assessment forms and facilitate accurate and secured transfer of documents
  • Preparation and transmission of annual performance appraisal forms of rank and file, supervisors and officer level employees
  • Coordination with the employee and immediate supervisors to ensure smooth performance evaluation process
  • Monitoring of compliance and returns of appraisal forms and follows up with the employees and concerned heads to keep up with the established timeline.
  • Preparation of official documents relative to the performance management such as but not limited to: regularization, notice of personnel action, promotion and non-regularization documents.
  • Maintains secured and proper filing system for all physical and digital documents.

Qualifications

  • Educational Attainment: Graduate of Psychology or Human Resources Management degree or similar
  • Two (2) years employed in at least three (3) HR functional area in a corporate or business setting, internship not included

  • Average Proficiency in Written and Verbal English Communication
  • Intermediate skills in Microsoft Office: Word and Excel, Google Docs and Sheets
  • Basic knowledge in the end-to-end recruitment process.
  • Basic knowledge in timekeeping and statutory benefits administration
  • Basic knowledge in Philippine Labor Code
