Job Title: Executive Assistant to President & CEO
About the Role: We are seeking a highly professional, proactive, and strategically minded Executive Assistant to support our President & CEO. This is a client-facing, high-stakes role requiring independent judgment, a strong sense of urgency, and the ability to anticipate executive needs. The ideal candidate thrives in a fast-paced financial environment and demonstrates executive presence, discretion, and refined professional demeanor.
Key Responsibilities:- Provide high-level administrative support to the President & CEO including calendar management, scheduling, and travel coordination
- Prepare, proofread, and format correspondence, reports, presentations, and client-facing documents with exceptional attention to detail
- Serve as a professional liaison with clients, stakeholders, and senior executives
- Demonstrate a strong sense of urgency with tasks and client requests completed promptly
- Act proactively by anticipating executive needs, potential conflicts, and proposing solutions independently
- Manage multiple high-priority tasks and deadlines efficiently without requiring step-by-step guidance
- Support financial reporting, meeting preparation, and strategic projects as needed
- Utilize Adobe Creative Suite for presentations, formatting, and other executive materials
- Maintain discretion and confidentiality when handling sensitive business or client information
Qualifications:- Proven experience as an Executive Assistant, ideally in the financial services or investment sector
- Experience working with US clients or executives and familiarity with US business practices and time zones
- Strong Adobe Creative Suite skills including InDesign, Acrobat, Illustrator, and Photoshop
- Proficiency with tools such as Google Workspace including Docs, Sheets, and Calendar, Zoom, and Slack or similar platforms
- Highly proactive and independent, able to exercise judgment without constant supervision
- Strong sense of urgency and ability to prioritize tasks effectively
- Exceptional written and verbal communication skills, demonstrating executive presence and professional demeanor
- Comfortable managing multiple high-priority tasks in a fast-paced environment
- Demonstrates discretion and integrity when handling sensitive information
