Job Summary:
The Executive Assistant to the Data Privacy Officer provides administrative, coordination, and documentation support to the Data Privacy Office. The role assists in ensuring the smooth implementation of privacy-related programs, maintaining accurate records, coordinating with internal departments, and handling confidential information with a high level of discretion.
Key Responsibilities:
- Provide administrative and operational support to the Data Privacy Officer.
- Manage the DPO's calendar, meetings, appointments, and schedules.
- Prepare meeting agendas, presentations, minutes, reports, and other privacy-related documents.
- Coordinate with different departments regarding data privacy requirements, compliance activities, and action items.
- Monitor and follow up on pending privacy-related requests and deliverables.
- Maintain and organize confidential privacy records, documents, and reports.
- Assist in maintaining the organization's privacy documentation, including records of processing activities and related compliance files.
- Assist in coordinating data privacy training, awareness programs, meetings, and events.
- Support the DPO in conducting privacy assessments, audits, and compliance reviews.
- Assist in monitoring and documenting data privacy incidents and concerns.
- Coordinate communications between the DPO and internal/external stakeholders.
- Assist in preparing reports and presentations for management.
- Ensure proper handling and confidentiality of sensitive and personal information.
- Assist with special projects and other tasks assigned by the DPO.
Qualifications:
- Bachelor's degree in Business Administration, Management, Legal Management, Information Technology, or a related field.
- Experience as an Executive Assistant, Administrative Assistant, Compliance Assistant, or similar role is an advantage.
- Knowledge or exposure to data privacy, compliance, or risk management is preferred.
- Familiarity with the Data Privacy Act of 2012 (RA 10173) is an advantage.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office and Google Workspace.
- Highly organized, detail-oriented, proactive, and dependable.
- Able to handle confidential and sensitive information with discretion.
- Strong coordination and follow-up skills.
- Willing to work in a fast-paced corporate environment.
