Job Description

JOB SUMMARY

The Executive Assistant provides logistical and administrative support to the assigned Head in order to help him/her carry out his/her roles and responsibilities with greater ease.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Coordinates and facilitates the superior's daily calendar of activities by arranging and scheduling meetings, appointments and conferences; Prepares and compiles materials for these meetings
  • Prepares management reports, presentation materials and other reportorial requirements and conducts research work when necessary; Obtains data or information and follow-up pending matters with other units/persons as instructed
  • Handles outgoing correspondences including composing business correspondences in response to incoming mails and inquiries; Receives and screens incoming calls, correspondences, and visitors to determine priority matters for the superior's attention and/or for referral to appropriate staff; Reviews, proofreads and edits documents prepared for signature and approval
  • Makes travel arrangements and prepares itineraries for business trips; Assists in the preparation of reimbursements of business representation and other expenses
  • Acts as liaison between the supervisor and other executives, transmitting directives, instructions and assignments and to follow-up on status of assignments
  • Safekeeps and maintains office records in accordance with the Bank's retention and information system to provide easy access to needed information
  • Adheres to updated policies and adapts work processes accordingly; Proactively recommends process improvements that will contribute to a more efficient service delivery

JOB QUALIFICATIONS

Years of Related Experience: 2 years and up

Knowledge and Skills Requirement:

  • Knowledge on administrative and clerical tasks, including office management and administrative procedures
  • Able to communicate effectively with all levels of the organization and external parties
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Office Suite
  • Experience managing calendars, scheduling meetings, and coordinating travel arrangements
  • Strong attention to detail and ability to multitask
  • Able to manage workload and assignments in order to meet work unit and project objectives and deadlines
  • Resourceful
