About the Role
Satellite Teams is seeking a highly organized and proactive Special Assistant to the CEO who will play a critical role in supporting the CEO's day-to-day operations and strategic initiatives. This position goes beyond traditional administrative support, requiring strong business acumen, discretion, and the ability to manage both professional and personal priorities.
The ideal candidate will act as a trusted partner to the CEOensuring seamless coordination across teams, managing high-priority tasks, and providing executive-level support to enhance overall efficiency and effectiveness.
Key Responsibilities
- Manage and optimize the CEO's calendar, including scheduling meetings and coordinating domestic and international travel
- Oversee daily workflows, communications, and follow-ups to ensure priorities are executed efficiently
- Prepare, draft, review, and manage executive correspondence, reports, and presentations
- Coordinate with internal teams and stakeholders to ensure alignment and timely completion of tasks
- Track action items and ensure follow-through on decisions and commitments made by the CEO
- Handle confidential and sensitive information with the highest level of discretion
- Provide administrative support such as expense tracking, reporting, and general office coordination
- Assist with occasional personal errands and time-sensitive requests as needed
Qualifications
- Bachelor's degree required; Master's degree (MBA, MPP, or MPA) is an advantage
- At least 3 years of experience supporting senior executives or CEOs
- Exceptional organizational and time-management skills
- Strong written and verbal communication skills
- Ability to multitask, prioritize, and anticipate needs in a fast-paced environment
- Professional demeanor, dependable work ethic, and high attention to detail
- Comfortable working with flexible hours and occasional after-hours or weekend availability
