Job Description

As an Executive Assistant, you'll work as part of a team of problem solvers with extensive consulting and industry experience, helping our clients solve their complex business issues from strategy to execution. Specific responsibilities include but are not limited to:

  • Perform secretarial support to Partners and Directors level
  • Calendar and diary management (e.g. booking meetings, ensuring no meeting conflicts, prioritise meetings)
  • Expense claims submission (in accordance with policy) and verification
  • Coordinate event-related logistics (e.g. venue booking, room set-up, food catering, workshop tools required)
  • Travel management (in accordance with policy) including travel arrangements coordination (e.g. flight, visa, transport, airport transfer, hotel arrangements
  • Namecard requisitions and timesheet submission
  • Assist in preparation of documents for engagements (e.g. formatting, proofreading, binding, courier, sending for digital signature, archiving)
  • Responsible for providing client support to core consulting GTMs.
  • Provide approval on related documents with Partner's consent (e.g. engagement letters and invoices using DocuSign)
  • Collate CV and resumes so that project teams can reach out to get a copy for proposals
  • Accounts receivable monitoring and reporting
  • Partner onboarding & offboarding
  • Monitor clearance progress
  • Assist with a variety of internal projects and coaching group engagement (e.g. LoS and coaching group social activities)
  • Provide general support for visitors (e.g. receive guests and bring to meeting venue)
  • Managing updates on Salesforce for client contacts, meetings etc (training will be provided to the EAs)
  • Opportunity and contact management
  • Cloudbooking/Book partner rooms
  • Client Services support
  • GTM specific tasks

About you

  • College degree graduate in Business Administration or other related courses.
  • Required skills: strong travel management, calendar management, experience supporting at least 2 or 3 C-suites level, regional experience is an advantage, must be residing within Manila
  • At least 5 8 years experience as an executive assistant or other relevant administrative support
  • Experience in virtual/offshore executive support
  • Must be comfortable working with the top-level management
  • In-depth understanding of entire MS Office and Google suite tools
  • Can meet deadlines in a fast-paced and quickly changing environment
  • Outstanding organizational and management skills
  • Ability to maintain high level of professionalism and confidentiality
  • Good in problem solving with strong decision-making skills
  • Professional level verbal and written communication skills
  • Open to work in Makati City, hybrid setup
