POSITION SUMMARY
The Executive Assistant role will be a pivotal position within the global marketing department. This role reports directly to the Global Marketing Director and will play a key part in supporting communication, coordination, and execution of global marketing initiatives at a tactical and administrative level. The Executive Assistant will assist in ensuring clear and timely communication across regions, managing schedules and priorities, organizing meetings, and coordinating follow-ups on key marketing actions. This role will also support the preparation and consolidation of global marketing reports and decks, manage documentation, and help maintain alignment across teams by tracking deliverables and deadlines. Additionally, the Executive Assistant will help streamline workflows, support cross-functional collaboration, and contribute to ensuring that the entire global marketing team operates smoothly and efficiently.
KEY RESPONSIBILITIES
Key Accountabilities:
Support the Global Marketing Director by managing email, calendars, prioritizing commitments, organizing communication, and ensuring timely follow-up on key actions.
Coordinate clear and timely communication across all marketing regions, ensuring alignment on priorities, updates, and global initiatives.
Organize and manage meetings, including scheduling, agenda preparation, documentation, and tracking action items to completion.
Assist in the execution of global marketing initiatives by coordinating tasks, monitoring deliverables, and ensuring deadlines are met across regions.
Prepare and consolidate global marketing reports, dashboards, and presentation decks for leadership and cross-functional teams.
Maintain documentation, files, and shared resources, ensuring information is structured, updated, and easily accessible.
Streamline workflows and support process efficiency by coordinating between teams, improving task visibility, and reinforcing accountability.
Facilitate cross-functional collaboration across marketing, product, sales, HR, and regional teams as needed.
Identify and assist in sourcing marketing talent within the PHP region in coordination with HR.
Coordinate PHP marketing events and local initiatives, ensuring alignment with global objectives.
Compile and maintain the global marketing roadmap, presenting a clear and aligned view of activities, timelines, and priorities.
Track and monitor progress on marketing activities, supporting the overall smooth and efficient operations of the global marketing team.
SKILLS/EXPERIENCE
Technical skills
Work experience of 5+ years
Experience in Executive Assistant work
Microsoft Office proficiency Word, Powerpoint, Excel (reporting), Outlook
Ability to schedule calls, calendar management & inbox management
Can do, positive attitude
Clear written & verbal communication skills
Ability to improve language comprehension & further education to communicate clearly with UK, AU & US based colleagues
Candidates must be located in the Philippines.
40 Hours per Week (Monday - Friday)
