We're seeking a highly skilled Executive Assistant to partner with us in driving business strategy, client relations, and operational excellence. This role is pivotal in managing complex workflows, cross-timezone coordination, and confidential information
Key Responsibilities
1. Executive Calendar & Time Management
- Own and optimize the EVP's dynamic calendar across multiple time zones.
- Coordinate leadership reviews, client calls, site visits, and industry meetings.
- Anticipate and adjust for urgent requests in a 24/7 BPO setting.
2. Communication & Stakeholder Liaison
- Serve as the EVP's gatekeeper: triage communications and draft executive-level correspondence.
- Act as the central link between EVP, C-suite leaders, global clients, and vendors.
- Track and close out action items from meetings.
3. Meetings, Travel & Events
- Prepare agendas, briefing materials, and presentations.
- Record minutes, track deliverables, and ensure accountability.
- Manage end-to-end travel logistics and expense reporting.
- Coordinate leadership offsites, client visits, and town halls.
4. BPO-Specific Operational Support
- Compile dashboards, SLA reports, and client updates.
- Research client accounts, competitor benchmarks, and regulatory changes.
- Track milestones for account launches and compliance audits.
- Uphold strict confidentiality on contracts, pricing, and personnel matters.
5. Administrative & Project Support
- Prepare board materials, slide decks, and memos.
- Manage ad-hoc projects and cross-departmental initiatives.
- Support vendor management, invoice processing, and budget tracking.
Qualifications
Minimum Requirements
- Bachelor's degree in Business, Communications, or related field (or equivalent experience).
- 3–5+ years supporting C-level executives, ideally in BPO or multinational environments.
- Exceptional English communication skills (written & verbal).
- Advanced proficiency in Microsoft 365 & Google Workspace; familiarity with CRM/ERP tools preferred.
- Strong discretion and knowledge of data privacy (DPA, GDPR).
Preferred / BPO-Specific
- Prior BPO or contact center operations experience.
- Familiarity with KPIs: SLAs, AHT, CSAT, utilization, headcount, revenue reporting.
- Flexibility to work across APAC, US, and EMEA time zones.
- Proven ability to multitask and deliver under pressure.
