Job SummaryProvides high-level administrative and secretarial support to executives by managing schedules, correspondence, meetings, reports, and confidential information to ensure efficient daily operations.
Key Responsibilities- Manage the executive's calendar, appointments, meetings, and travel arrangements.
- Screen phone calls, emails, and correspondence, responding or forwarding as appropriate.
- Prepare reports, presentations, meeting agendas, minutes, and other business documents.
- Organize and maintain confidential files, records, and executive documents.
- Coordinate internal and external meetings, conferences, and events.
- Monitor deadlines, follow up on action items, and ensure timely completion of executive requests.
- Handle confidential information with the highest level of discretion.
- Assist in preparing business reports, proposals, and executive presentations.
- Coordinate communication between executives, departments, clients, and external partners.
- Process expense reports, purchase requests, and other administrative documentation.
- Arrange logistics for business trips, accommodations, and transportation.
- Maintain office supplies and ensure smooth administrative operations.
- Perform research and gather information required by management.
- Support special projects and perform other duties assigned by management.
Qualifications- Bachelor's degree in Business Administration, Office Administration, Management, or any related field.
- At least 3–5 years of experience as an Executive Secretary, Executive Assistant, or similar administrative role.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Strong organizational, time management, and multitasking skills.
- High level of professionalism, integrity, and confidentiality.
- Strong attention to detail and problem-solving abilities.
- Ability to work under pressure and meet deadlines.
- Experience supporting senior executives is an advantage.
