Job Description

We are seeking an experienced, highly organized, and proactive Executive Assistant to support the Head of Investor Relations This individual will play a mission-critical role in managing the day-to-day schedule, communication, and priorities of one of the senior leaders Acting as a trusted partner, the Executive Assistant will ensure the Head of Investor Relations time is focused on high-impact activities by delivering exceptional administrative, operational, and strategic support

Key Responsibilities:

Calendar & Communication Management

• Manage a high-volume calendar, ensuring meetings are scheduled with precision and prioritizing time for high impact meetings

• Act as a communication gatekeeper, handling emails and requests with professionalism and sound judgment

• Coordinate across internal and external stakeholders, often representing the Head of Investor Relations in interactions

Investor & LP Relations Support

• Support the Head of Investor Relations in all investor-related interactions, including the preparation of updates, presentations, and briefing materials

• Coordinate LP meeting logistics, both virtual and in-person, including regular meetings and annual meeting

• Ensure timely delivery of investor materials and follow-ups together with the investor relations team

• Maintain contact lists, communication records, spreadsheets, and documentation related to LP engagements

Meeting & Event Coordination

• Plan and manage logistics for internal and external meetings

• Draft agendas, prepare meeting materials, and track action items and follow-ups

Operational & Strategic Support

• Anticipate needs and proactively manage administrative workflows

• Track and help manage strategic initiatives, special projects, and internal priorities

• Maintain confidentiality in all aspects of interactions

Education & Experience

• 3+ years of executive administrative support experience within a fast-paced professional environment

• Private equity, investment banking, law firm, or other professional services experience is a plus

• Bachelor's degree preferred

• Ability to function professionally under pressure, while managing multiple concurrent projects and deadlines

• Proficient in Microsoft Office (Outlook, Word, Teams, Excel, and PowerPoint is a necessity

• Perform duties with the highest level of confidentiality, work ethics, and integrity

• Inclination to take responsibility, self-manage, and be very hands-on in doing whatever needs to be done to push toward outcomes

• Ability to work independently while collaborating cross-functionally with internal and external teams

• Positive can-do attitude, people-first mindset, and a proactive team approach
