Job Description

Executive Assistant (Up to ₱50K | Work-from-Home | FREE AI Certification)

Philippines | Work-from-Home | 11:00 PM–8:00 AM PH Time | Monday–Friday

You own the day-to-day rhythm of a senior executive at a U.S. insurance brokerage — managing calendars and appointments, coordinating travel and events, running expense and CRM workflows, and handling correspondence that keeps the executive focused on high-value work. Your work follows established processes for scheduling, communication, and reporting aligned with executive and client expectations.

This is not a general admin role. You operate as a trusted extension of the executive, coordinate directly with carrier and vendor partners, and are trusted to anticipate needs and act decisively without micromanagement. Best suited for professionals who thrive in structured executive support environments, value precision on the first pass, and prefer proactive ownership over reactive task work.

You're Likely a Strong Fit If You Have

  • 4–6 years of executive assistant experience directly supporting a CEO, Head of Department, or comparable senior leader (open to shorter tenure for exceptional candidates)
  • Hands-on experience with Salesforce (Huddle preferred), Outreach, and SAP Concur for expense management
  • Working proficiency in Microsoft Outlook, Excel, PowerPoint, and Publisher
  • Demonstrated ability to coordinate complex calendars, travel logistics, and vendor or partner events
  • Willingness to work a permanent night shift (11:00 PM–8:00 AM PH Time) aligned with U.S. business hours from a distraction-free home-office setup

Strong Signals

  • Background in Sales, Marketing, or executive support within a client-facing services environment
  • Prior experience supporting a U.S.-based insurance brokerage, agency, or financial services organization
  • Familiarity with miEdge, Seamless, or comparable sales enablement and prospecting tools
  • Experience coordinating executive relationships with external carriers, vendors, and partners
  • Comfort using AI tools to streamline calendar, correspondence, and expense workflows

What You'll Own

Executive Calendar & Communications

You own the executive's calendar and inbox — filtering priorities, protecting focus, and keeping communication flowing.

  • Manage appointments, meetings, and calendars across time zones
  • Send emails on the executive's behalf and manage inbox triage
  • Set up reservations and coordinate meeting logistics
  • Anticipate scheduling conflicts and resolve them before they escalate

Travel, Events & Partner Coordination

You coordinate the moving parts of executive travel, industry events, and partner engagements.

  • Book and manage travel arrangements — flights, hotels, ground transportation, and itineraries
  • Coordinate events with carrier and vendor partners
  • Prepare briefing materials and agendas for external engagements
  • Serve as the executive's point of contact for partner logistics

Sales CRM & Expense Operations

You keep the executive's sales pipeline and expense records accurate and up to date.

  • Maintain and update the Sales CRM (Huddle / Salesforce), Outreach, and miEdge
  • Process and reconcile expenses through SAP Concur
  • Prepare reports, summaries, and follow-ups as requested
  • Flag data or expense discrepancies promptly

Cross-Functional & Special Projects Support

You extend the executive's reach by working alongside internal teams and taking on ad-hoc initiatives.

  • Collaborate with other team members across departments
  • Take on additional tasks and special projects as requested
  • Build on existing processes and suggest structural improvements
  • Maintain confidentiality and discretion in all interactions
