Job Summary:

Provides administrative and office support to the Senior Officers (FVP and up).

Key Responsibilities:

  • Monitors activities of supervising executive to prevent over-lapping of schedules.
  • Gathers pertinent data from the supervising executive relative to the preparation of various reportorial requirements.
  • Provides administrative support along the areas of committee meeting documentation, follow-through reports and other pending matters from different divisions/units.
  • Generates reports, coordinates various correspondences and performance of administrative tasks within the group.
  • Ensures distribution of instructions and/or documents requiring immediate attention/action to appropriate second level officers in the absence of the Group Head.
  • Screens incoming phone calls, receives guests/visitors, and maintains records of incoming/outgoing transactions, schedules and appointments.
  • Makes business travel arrangements, sorts, reviews and prepares reply to incoming correspondence, and arranges documents needing approval or signature.
  • Maintains filing systems and group logistics/supplies, attends to special instructions on miscellaneous and official matters, and performs other related functions that may be assigned from time to time.

Qualifications:

  • Bachelor's Degree Holder.
  • 5 to 8 years as an EA or Senior EA supporting C-suite, board, business head, or equivalent senior leaders.
  • Industry Exposure: Banking, financial services, large conglomerate, consulting firm, or highly matrixed corporate environment preferred.
  • Experience in coordinating with Chairman, President, CEO, CFO, or business head offices.
  • Proven ability to handle sensitive executive-level information.
  • Experience in preparing agendas, meeting packs, minutes, action logs, and follow-up trackers.
  • Exposure to committees, steering groups, transformation meetings, strategy sessions, or board-related forums preferred.
  • Strong working knowledge of Outlook, Teams, Excel, PowerPoint, Word, and document management systems.
