The Opportunity
We are seeking a highly organized and process-driven Event Marketing Coordinator to anchor the operations of a high-volume global event program. This role is a perfect match for an execution-focused professional who excels in a fast-paced environment and loves the nitty-gritty of logistics. You will support over 200 annual events across the Americas, EMEA, and APAC, ensuring that everything from travel and registrations to budgets and shipments runs like clockwork. If you have a sharp eye for detail, a proactive approach to problem-solving, and the ability to partner effectively with Finance and Marketing teams, we want you on our team.
What Your Day-to-Day Will Look Like
- Event Operations: Support the execution of 200+ annual global events by researching accommodations, handling registrations, and managing complex staff schedules.
- Financial Coordination: Track and reconcile credit card charges, partner with Finance to process invoices, and maintain accurate event budgets within ClickUp.
- Logistics & Tracking: Monitor all shipments (booth materials, swag, and equipment) to ensure timely arrival and document final expense totals post-event.
- Process Documentation: Maintain and update event planning documents, frameworks, and repeatable playbooks to streamline global operations.
- Meeting Management: Attend planning sessions to capture detailed notes, documenting decisions, next steps, and task owners.
- Executive Support: Provide light scheduling and calendar coordination for the VP of Marketing and other stakeholders as needed.
What You Bring
- Operational Excellence: Proven experience supporting marketing operations or coordination in a high-growth, fast-paced environment.
- Meticulous Detail: Exceptional accuracy when managing budgets, schedules, tracking documents, and complex logistics.
- Cross-Functional Collaboration: Ability to partner seamlessly with Finance, Marketing, and Operations teams to move projects forward.
- Adaptability: A calm, professional demeanor when navigating ambiguity, changing processes, and tight deadlines.
- Communication Skills: Professional written and verbal communication skills, comfortable leading email threads and participating in Zoom/Google Meet sessions.
- Global Flexibility: Ability to maintain reliable working hours to support teammates across EST and GMT time zones.
Bonus Points if:
- You have specific experience in Field Marketing or large-scale event planning (conferences/trade shows).
- You are proficient with ClickUp or similar project management tools.
- You have prior experience as an Executive Assistant or in administrative support.
- You have experience maintaining SOPs, playbooks, or internal documentation for global teams.
