As a Construction Management Executive Assistant, you will be the operational backbone for major infrastructure and engineering projects. This is more than a traditional EA role; you will act as a project coordinator, managing the flow of contractual reports, risk registers, and complex logistics. You will work at the intersection of Project Directors, contractors, and internal technical teams (Grid and Electricity Markets) to ensure that timelines are met and compliance is maintained. Your Impact
Project Reporting & Documentation: Maintain contractual report templates and coordinate monthly project reports. You will collect performance statistics from contractors and prepare presentations, compliance registers, and technical project documentation.
Governance & Meeting Management: Manage the end-to-end meeting lifecycle, including preparing meeting packs and agendas, recording minutes, and rigorously managing action registers to ensure accountability.
Licensing & Compliance Support: Support the preparation of mandatory project license applications. You will compile supporting documentation, manage submission materials, and monitor application progress to escalate issues when necessary.
Logistics & Resource Coordination: Manage complex travel arrangements, accommodation, and vehicle logistics for project teams. You will also coordinate contractor site visits and support consultant engagement and contract preparation.
Financial & ERP Administration: Support project leadership with expense tracking and create project purchase orders within the ERP system (e.g., IFS) as required.
Stakeholder & Data Management: Act as a central liaison between internal construction teams and external suppliers. You will maintain project databases in Excel, manage shared documentation folders, and develop trackers to monitor progress and dependencies.
What You Bring
The Experience: Proven experience as an Executive Assistant, Project Coordinator, or Construction Administrator. Experience supporting infrastructure, engineering, or large-scale construction teams is highly preferred.
Technical Mastery: Advanced proficiency in Microsoft Excel (tables, tracking tools, data analysis) and the wider MS Office Suite. Familiarity with Procore and ERP systems (such as IFS) is a significant advantage.
Operational Discipline: High attention to detail and the ability to manage structured documentation processes. You are a proactive professional with strong time management and the ability to handle multiple competing priorities.
Coordination Skills: Strong stakeholder management capabilities, comfortable collaborating with both internal management and external contractors.
The Credentials: Ability to prepare schedules, planners, and execution tracking documentation. Excellent written and verbal English communication skills are essential.
