As a Client Excellence Coordinator, you will be the driving force behind revenue recovery and client engagement for a US-based medical services provider. This role is a hybrid of specialized medical billing, collections, and high-touch client service. You will navigate the complexities of healthcare insurance, claim submissions, and patient payment plans while maintaining the professional rapport necessary to maximize revenue and ensure industry compliance.
Your Impact
- Strategic Accounts Receivable & Billing: Manage the end-to-end collection process for ambulance and medical services. You will proactively contact past-due clients via phone, email, and text, reschedule failed payments, and process payments securely over the phone.
- Specialized Intake & Case Management: Oversee the onboarding of new clients by coordinating intake documents, reviewing contracts, and filing Power of Attorney Revocation forms. You will ensure all client data is accurately maintained in proprietary databases.
- Professional Client Communication: Build genuine rapport with clients using professional, scripted responses across multiple channels including live chat and phone. You will provide individual attention to understand client needs and goals, ensuring a high-quality service experience.
- Sales & Administrative Support: Support the sales pipeline by following up with leads and scheduling calls for the sales team. You will also manage internal reporting, track credit card expenses via spreadsheets, and provide virtual assistance to wider client service teams.
- Compliance & Technical Expertise: Apply your knowledge of CPT/HCPCS codes and medical terminology to ensure accurate claim follow-ups. You will maintain strict confidentiality and high standards of professionalism in line with US healthcare regulations.
What You Bring
- The Experience:Minimum 2 years of experience in medical billing, collections, or insurance follow-up. Previous experience in ambulance or EMS billing and past patient collection is a significant advantage.
- Technical Mastery: Strong knowledge of insurance claim processes and medical billing/coding practices. You are proficient in billing software and the Microsoft Office Suite, specifically Excel for maintaining expense spreadsheets.
- Communication & Negotiation: Exceptional English communication skills with the ability to negotiate payment schedules firmly yet professionally. You are comfortable using scripts to handle sales leads and service inquiries.
- The Credentials: High school diploma or equivalent; an Associate degree in Healthcare Administration or a related field is preferred.
- The Mindset: A goal-oriented professional with the ability to reach weekly measurable targets. You are attentive to detail, organized, and capable of providing knowledgeable support regarding medical products and services.
