Job Title: Bookkeeper

Work Type:

  • Remote/WFH

Working Hours: Mondays and Tuesdays, 8:00 AM - 1:00 PM Pacific Daylight Time

Job Summary:

A growing private micro-school is seeking a detail-oriented and dependable Bookkeeper to manage its routine bookkeeping, payroll processing, invoicing, financial documentation, and account reconciliation.

The Bookkeeper will work closely with the Founder and communicate directly with the organization's CPA to ensure that financial records are accurate, organized, complete, and ready for accounting and tax reporting.

Duties and Responsibilities:

  • Process employee payroll accurately and according to the established schedule.
  • Review employee hours, compensation information, deductions, reimbursements, and other payroll records before processing.
  • Maintain complete and organized payroll documentation.
  • Communicate directly and professionally with the organization's CPA regarding payroll, reconciliations, financial records, discrepancies, and required documents.
  • Record and classify financial transactions in the designated bookkeeping system.
  • Reconcile bank accounts, credit cards, payroll accounts, and other financial accounts.
  • Monitor accounts payable and ensure approved bills and expenses are properly recorded.
  • Generate and track tuition, enrollment, materials, and other approved invoices.
  • Maintain accurate records of payments, outstanding balances, credits, discounts, and payment arrangements.
  • Organize receipts, invoices, payroll reports, bank statements, vendor records, and supporting financial documents.
  • Assist with month-end bookkeeping activities and financial reporting.
  • Prepare clear summaries of revenue, expenses, payroll, outstanding receivables, and upcoming financial obligations.
  • Identify duplicate transactions, missing documents, incorrect entries, unusual expenses, and other discrepancies.
  • Correct routine bookkeeping errors and escalate significant concerns to the Founder or CPA.
  • Maintain financial records relating to employees, vendors, tuition, scholarships, donations, and operating expenses.
  • Provide complete and properly organized documentation to the CPA during tax preparation and financial review periods.
  • Develop and maintain bookkeeping procedures, checklists, and documentation.
  • Protect the confidentiality of employee, family, donor, vendor, and organizational financial information.
  • Perform other bookkeeping and payroll-related responsibilities assigned by the Founder.

Requirements:

  • Associate or bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • At least 3 years of professional bookkeeping experience.
  • Experience supporting a small business, private school, nonprofit organization, or education-related organization is an advantage.
  • Demonstrated experience processing payroll and maintaining payroll documentation.
  • Experience managing accounts payable, accounts receivable, invoicing, bank reconciliation, expense tracking, and financial records.
  • Working knowledge of United States bookkeeping practices and basic payroll requirements.
  • Experience using QuickBooks Online, Xero, or a comparable cloud-based bookkeeping system.
  • Experience using payroll software and online banking platforms.
  • Strong proficiency in Microsoft Excel and Google Sheets.
  • Excellent attention to detail, accuracy, organization, and numerical ability.
  • Excellent written and spoken English communication skills.
  • Exceptional listening, reading, and contextual comprehension.
  • Ability to understand detailed instructions, financial records, and communications accurately before taking action.
  • Ability to ask appropriate questions when information or instructions are incomplete or unclear.
  • Ability to communicate efficiently with the Founder, CPA, employees, vendors, and authorized stakeholders.
  • Ability to work independently with minimal supervision.
  • Ability to meet recurring payroll, reporting, and financial deadlines consistently.
  • Strong judgment, integrity, discretion, and respect for confidential information.

  • QuickBooks Online ProAdvisor certification.
  • Xero Advisor certification.
  • Certified Bookkeeper designation.
  • Certified Public Bookkeeper designation.
  • Fundamental Payroll Certification.
  • Certified Payroll Professional credential.
